Administrative Assistant

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately
  • Maintain organized filing systems, both physical and digital, including data entry and document management using Google Workspace and Microsoft Office tools
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events with excellent time management skills
  • Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Provide customer service support by addressing inquiries promptly and courteously, ensuring positive interactions
  • Perform clerical tasks such as proofreading documents, preparing reports, and managing correspondence with precision and attention to detail
  • Handle office management duties including supply inventory, maintaining office equipment, and ensuring a clean, professional workspace
  • Support medical or dental reception duties as needed, including patient check-in/out processes and insurance documentation
  • Assist personal or executive assistants with various administrative tasks to enhance overall office productivity

Experience

  • Proven office experience with a strong background in administrative support roles
  • Familiarity with front desk operations and multi-line phone systems in a fast-paced environment
  • Bilingual abilities are highly valued to serve diverse client needs effectively
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document creation and collaboration
  • Experience with QuickBooks or bookkeeping software for financial record-keeping is preferred
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently under pressure
  • Strong typing skills coupled with excellent proofreading abilities for accurate documentation
  • Previous experience in customer service or customer support roles that require professional communication skills
  • Knowledge of office management best practices along with clerical experience including filing, data entry, and record keeping
  • Familiarity with medical or dental receptionist duties is a plus but not required

Pay: $24.25 - $29.20 per hour
