Key Responsibilities
Executive Support
- Review & coordinate the Executive Director’s calendar, meeting preparation, travel, and follow‑ups.
- Prepare correspondence, reports, and presentations as requested.
Governance & Committees
- Schedule Steering Committees and Board meetings.
- Create and distribute agendas; take minutes; track action items; maintain rosters and distribution lists.
- Maintain Teams channels and shared files; compile monthly committee reports for Board packets.
Member & Internal Communications
- Draft and send meeting notices, action alerts, and updates.
- Ensure timely, accurate distribution of materials and follow‑up communications.
Event Coordination
- Lead logistics for Emerging Contractors “Tours & Pours.”
- Provide staff support at major AGC/MCA events
Mailings & Operations
- Prepare membership mailings and annual event/sponsorship and workforce development booklets.
- Coordinate with print vendors and office equipment for efficient production.
Cross‑Team Coordination
- Align timelines with the Marketing & Communications Manager for programs, signage, slides, and promotions tied to meetings and events.
Records & Compliance
- Maintain accurate records for agendas, minutes, and materials per internal policies.
Key Systems & Tools
- Microsoft 365/Teams, Outlook, Word, Excel, ShareFile
- Mailchimp and website CMS
- Office equipment for printing, folding, mailing
- Event registration and venue coordination tools
Qualifications
- Education: Associate’s degree or equivalent experience; bachelor's preferred but not required.
- Experience: relative experience in administrative support, office management, or board/committee coordination.
- Skills: Organization, time management, written communication, minute‑taking, calendar management, Microsoft 365 proficiency.
- Attributes: Service‑oriented, proactive, discreet, dependable, member‑focused.
