About the Role
We are looking for a reliable and detail-oriented Administrative Assistant to support daily operational and executive tasks within the business. In this role, you will be responsible for managing communications, organizing schedules, handling travel arrangements, and ensuring smooth coordination across administrative functions.
You will play a key role in keeping information organized, maintaining customer and contact records, and supporting general business operations. If you have strong administrative experience, excellent communication skills, and a proactive approach to managing tasks, we’d love to meet you!
Key Responsibilities
Communication & Inbox Management
- Manage and organize email correspondence, ensuring timely and professional responses.
- Handle incoming and outgoing telephone calls with courtesy and efficiency.
- Maintain organized and efficient communication workflows to ensure no tasks are missed.
Scheduling & Calendar Coordination
- Manage calendars and schedule meetings, appointments, and reminders.
- Coordinate and set up meetings, including preparation of documents when needed.
- Assist with travel planning by arranging flights, accommodations, and itineraries.
Administrative & Business Support
- Perform basic bookkeeping tasks and maintain customer records.
- Keep the client updated on relevant industry news and insights.
- Maintain and update contact lists and databases using spreadsheets or CRM tools.
- Support customer and stakeholder communication as needed.
Documentation & Data Management
- Organize and maintain digital files, ensuring easy retrieval and accuracy.
- Assist with preparing reports, summaries, and administrative documents.
- Track tasks, deadlines, and follow-ups to support smooth operations.
Other Responsibilities
- Make necessary process suggestions and improvements that can help the team.
- Contributes to team effort by accomplishing related results as needed.
- Perform other related tasks and duties that may be assigned by the client later on.
About You
- 1 year of experience in an administrative, executive assistant, or operations support role.
- Excellent written and verbal communication skills.
- Strong attention to detail with the ability to manage multiple tasks simultaneously.
- Highly organized, proactive, and able to work independently with minimal supervision.
- Comfortable handling calls, managing calendars, and coordinating schedules.
- Proficient with email platforms, spreadsheets, and general office software.
