Job Overview
We are seeking a detail-oriented and organized Administrative Assistant / Bookkeeper to support our finance and administrative teams. This role involves managing financial records, assisting with bookkeeping tasks, and providing exceptional support to ensure smooth office operations. The ideal candidate will have strong organizational skills, proficiency with accounting software, and excellent communication abilities to handle various administrative duties efficiently.

Responsibilities

  • Assist with data entry and maintenance of financial records using QuickBooks and other accounting tools
  • Manage invoicing, billing, and accounts payable/receivable processes
  • Support bank reconciliations and financial reporting tasks
  • Handle front desk duties including greeting visitors and managing multi-line phone systems
  • Schedule appointments and manage calendars using Google Calendar
  • Prepare, proofread, and file documents to ensure accuracy and organization
  • Maintain organized electronic and physical filing systems
  • Provide excellent customer service via phone and in person, demonstrating professional phone etiquette
  • Assist with administrative projects as needed, including marketing posts, newsletters and more

Experience

  • Prior office experience preferred
  • Proficiency in Google Workspace (Word, Excel, Outlook)
  • Experience with bookkeeping software such as QuickBooks is highly desirable
  • Strong typing skills for efficient data entry and document processing
  • Familiarity with multi-line phone systems and front desk operations
  • Excellent organizational skills with an eye for detail and accuracy
  • Ability to handle proofreading tasks carefully to ensure error-free documents
  • Previous experience in administrative or office support roles is a plus

Job Types: Full-time, Permanent

Pay: $19.50-$22.75 per hour

Expected hours: 37.5 per week
