Administrative Assistant (m/f/d)

Provide independent, reliable administrative and office support to the Head PH Program Management (m/f/d) and the wider organisation. You will organise travel, prepare expense reports, manage meeting logistics and office materials, and coordinate global schedules and workshops in Basel and abroad. You ensure smooth operations through consistent follow‑up of deadlines, proactive support and efficient administrative facilitation.

YOUR TASKS AND RESPONSIBILITIES

  • Provide comprehensive administrative support including scheduling and coordinating meetings, conferences, appointments and travel arrangements (domestic and international).
  • Arrange internal and external team meetings and workshops in Basel and abroad (location management, catering, material shipment and participant registration).
  • Create PO orders, manage approval processes and support ongoing budget control and expense reporting for the program.
  • Manage incoming information and emails: assess urgency, process requests, track follow-ups and ensure deadlines are met.
  • Independently draft emails and documents; prepare and compile meeting minutes in English, along with presentations, drafts and action trackers.
  • Coordinate across clusters and collaborate with colleagues to meet cluster-specific needs and facilitate cross-team activities.
  • Administer IT systems and information management: maintain SharePoint sites, manage Teams channels, create and maintain distribution lists, and monitor access rights.
  • Maintain databases and records (time tracking, training database), create forms and update organisational charts.
  • Manage office materials, supplies and samples; coordinate maintenance of office equipment and receive/guide clients and visitors.
  • Provide first-line resolution of administrative inquiries and liaise with finance, procurement and facilities teams as required.

WHO YOU ARE

  • Vocational diploma or equivalent education in business management or related field.
  • Proven experience providing administrative and business support to managerial roles.
  • Strong communication, coordination and interpersonal skills.
  • Solid digital proficiency and hands-on experience with MS Office, SharePoint, Teams and other relevant IT tools.
  • Initiative-driven, proactive and able to work independently with a strong sense of responsibility.
  • Reliable, trustworthy and able to perform under pressure while maintaining attention to detail.
  • Flexible and adaptable to changing priorities and international meeting schedules.
  • Team player with organisational talent and consistent follow-up discipline.
  • Result-oriented with the ability to gather, monitor information and support decision-making.
  • Fluent in English and German (written and spoken).
