The Division Administrative Assistant is responsible for the operation of the Division Office and Reed Computer Lab. This includes operation of office equipment, supervision of student assistants, clerical work from the Division, Strickler Planetarium, and the departments of Biology, Chemistry, Computer Science, Engineering, Geology and Mathematics.
Essential Duties and Responsibilities
- Manage daily administrative operations for the Reed departments (Biology, Chemistry, Geosciences/ESS, Computer Science) and maintain an efficient, welcoming office environment. Maintain office supplies and copier supplies.
- Coordinate all Strickler Planetarium scheduling, events, communications, and financial reporting, including year-end database reporting.
- Maintain departmental data and records, including student information, prospective student databases, and evaluation reports.
- Coordinate prospective-student meetings with faculty by working closely with the Admissions Office.
- Manage purchasing processes, including purchase orders, reimbursements, departmental supplies, and chemical inventory.
- Support faculty with administrative tasks, including computerized testing software, room reservations, and classroom/lab logistics.
- Plan and execute major departmental and building events, including Reed social events, homecoming activities (including Life Science Photo contest), Catalyst Banquet arrangements, receptions, and STEM-related events.
- Organize graduation-related activities, including senior database management, food coordination, and preparation of personalized materials.
- Support student organizations, including scheduling events, maintaining signage, and promoting activities through coordinated social media efforts.
- Manage building communications, including digital signage, announcements, and departmental outreach such as postcards and holiday cards.
- Oversee Teaching Assistant and stockroom worker scheduling, along with managing associated keys and records.
- Serve on the Reed Building Safety Team, assisting with safety compliance, readiness, and related procedures.
- Other duties as assigned.

- Demonstrated work experience involving significant interaction and collaboration with others.
- Skill sets that include organization, time management, attention to detail, correct grammar and punctuation, strong writing, positive interpersonal relations, critical thinking, outcome assessment, and competence with technology and Microsoft Office suite programs.
- Professional attitude and disposition.
- Ability to maintain confidentiality and work with sensitive information.

SUPERVISORY RESPONSIBILITIES
Occasionally, some students may work part-time in the office and require supervision.
EDUCATION
A bachelor’s degree is preferred but not required.
WORK ENVIRONMENT
Almost all work will be in Reed Hall of Science. No travel required.
SUPPLEMENTAL INFORMATION
The salary for this position is $16.25 per hour.
