Scheduling Officer is responsible for efficiently managing patient appointments, maintaining the clinic’s calendar, and ensuring seamless coordination of scheduling activities. This role requires exceptional organizational skills, attention to detail, and the ability to handle scheduling requests with professionalism and efficiency.
Duties & Responsibilities
- Manage and update clinic schedules, ensuring accuracy and efficiency.
- Confirm and arrange patient appointments while optimizing clinic resources.
- Send timely reminders for scheduled appointments to reduce no-shows.
- Handle rescheduling or cancellations promptly and courteously.
- Address scheduling inquiries via phone, email, and other communication channels.
- Maintain accurate records of scheduling processes and patient bookings.
- Coordinate with Aivee Clinic doctors and branch officers to accommodate patient requests.
- Ensure smooth communication between departments for efficient scheduling.
- Perform additional tasks as assigned by management.
Qualifications
- Bachelor’s degree in Business Administration, Healthcare Management, or a related field (preferred).
- At least 2-3 years of experience in scheduling, administrative support, or customer service, preferably in an aesthetic or healthcare setting.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in scheduling software and office applications.
- Ability to handle multiple tasks efficiently while maintaining attention to detail.
- Professional, courteous, and patient-focused approach.
