We are seeking a detailed-oriented, customer-focused Administrative Assistant/Client Support Specialist to join our team and be the welcoming face and steady support for both our clients and our team.

Ideal Personal Attributes & Experience:
- Detail-oriented, takes pride in accuracy, and proactive problem-solving
- Able to communicate clearly and professionally by phone, through email and in person
- Strong technology skills and confidence with learning and navigating various industry specific software applications as well as other more common software applications
- Understand the importance of discretion and confidentiality of all data
- Comfortable juggling multiple tasks and priorities at a time while staying organized
- Enthusiastic about supporting both clients and team members in a fast-paced, service-focused environment
- Experience in an office or similar professional setting.
- Experience with bookkeeping or other accounting functions a plus, but not required
Duties & Responsibilities:
- Provide administrative support to our team by assisting with document preparation, client correspondence, workflow coordination and project organization
- Serve as a welcoming, reliable first point of contact to clients by answering phone calls, responding to emails, and assisting clients with questions and information requests
- Organize and maintain paper and electronic documents in accordance with firm procedures to ensure secure handling of client records and all firm data
- Assist with scheduling, front office reception, and general office functions
- Package, distribute and manage the status of client deliverables in paper and secure electronic formats, including preparing secure email communications, uploading files to client portals, assembling completed tax return packages and tracking electronic signatures
- Build and maintain valued client relationships by providing prompt, professional support, showing attentiveness and having a solutions-oriented mindset
- Maintain strict confidentiality at all times, safeguarding all firm data and other sensitive information

This role can be filled by a candidate searching for a part-time (20-25 hrs) or full-time (35 hrs) commitment. A full-time candidate will have the ability to cross-train with additional bookkeeping and accounting functions to support the administrative assistant/client support specialist role and also be eligible for additional benefits.
