About the Role:

Reporting to the Controller, the Administrative Assistant position supports the accounting and sales teams. You will welcome visitors with a professional and friendly demeanor, assist the accounting department, while creatively assisting with our social media local initiatives.

This position offers a balance of structure and creativity, perfect for someone who wants variety and thrives in a collaborative environment. The hours of work are from 8:00 AM to 4:30 PM with a 30-minute lunch.

Key Responsibilities:

  • First point of contact for visitors on-site
  • Maintain the front reception area and welcome display screen
  • Answer and transfer incoming calls
  • Follow up with managers to expedite the daily completion and submission of time sheets
  • Enter data for daily labour report/summary and labour distribution reports
  • Control and reconcile petty cash
  • Monitor and order office and kitchen supplies
  • Deposit and pick up mail daily, and facilitate the efficient flow of mail through the office
  • Document management such as filing, year-end boxing of accounting records, shredding
  • Post internal memos and communication notices
  • Back up daily cash receipts and accounts receivable billing as required
  • Coordinate meetings both for on-site and off-site locations
  • Take photos of equipment, videos of projects, events, etc. to be used for social media content
  • Contribute to content creation for posting on social media and printed marketing material
  • Coordinate the supply and inventory of Hawboldt swag
  • Assist in the preparation of trade shows, special projects, etc.
  • Participate on the Social Committee as Secretary

What You Bring:

  • Previous working experience applying basic accounting practices
  • Experience with creating and uploading posts for social media platforms
  • Proficiency in MS Office, especially Excel
  • Excellent communication and interpersonal abilities
  • Proven sense of urgency in completing tasks
  • Ability to work well in a confidential, fast-paced, time-sensitive environment
  • Strong organizational skills, the ability to prioritize, effectively manage assignments, and achieve deadlines
  • Completion of Administrative Professional certificate program an asset
