Administrative Coordinator

What you will do

Let’s do this. Let’s change the world. In this vital role your administrative and project work assignments will be complex in nature requiring absolute discretion, as well as considerable tact, judgment, creativity and initiative in resolving issues.

The Administrative Coordinator will be primarily responsible for complex administrative support activities, supporting the Rockville site. This position will report to the Rockville Site Lead.

Responsibilities

  • Manages calendars including complex team calendar and scheduling meetings (Outlook) across several time zones

  • Coordinate domestic and international travel arrangements and prepare expense reports

  • Organize meeting rooms, including logistics, catering and equipment needs

  • Coordination of onsite/offsite meetings

  • Serve as a contact for department/site and coordinate ongoing processes for the team

  • Manage the administrative aspects of relationships with outside vendors, speakers and candidates

  • Initiate/facilitate/participate in cross-functional team meetings

  • Participate in department project teams

  • Coordinate functional processes such as invoicing and purchase orders

  • Manage department operations: filing, databases, office supply orders, etc.

  • Assist with special projects as requested by supervisor

  • Coordinate mailings and courier/deliveries

  • Maintain department email distribution lists

  • Provide back-up support to other functional administrative staff as needed

  • Timely registration for conferences, congresses, seminars and internal meetings

What we expect of you

Basic Qualifications:

  • Associate’s degree and 2 years of relevant experience OR

  • 2 years in a technical school setting with hands-on experience OR

  • High school diploma / GED and 4 years of relevant experience

Preferred Qualifications:

  • Effective, can-do attitude with a solution-oriented approach

  • Experienced and proficient with all current Amgen technologies and platforms

  • Excellent written, verbal and presentation skill in communicating key business and critical information

  • 5+ years of experience in an administrative support role supporting large teams at different levels

  • Ability to liaise with cross-functional team members and effectively communicate with internal and external business partners

  • Exceptional at managing multiple calendars including coordination across multiple time zones

  • Ability to prioritize projects of greater urgency and importance

  • Bachelor’s degree

The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
