Position Summary
Our Functional Area
Duties and Accountabilities1
- Administer Employee Hiring and Onboarding process by executing defined guidelines and workflows, coordinating with Onboarding team and relevant parties to ensure a seamless onboarding experience of the new employee.
o Monitoring of pipeline joiners, send follow up emails to ensure that all mandatory requirements per jurisdiction are entered in the system prior hiring process.
o Assist in the New Joiner Induction Program. Coordinates with internal stakeholders for account creation and other IT set up, induction schedule, PA and buddy assignment, IT Training, conference room arrangements and other logistical requirements
- Administration of Contingent Worker. Creates CWR profile in the HR Management System (PeopleSoft) and monitor and send reminder to Local HR for the expiration of contract.
- Prepares Employment Verification documents and secondment letters following standard templates.
- Process and reconcile payroll interface activities for US, London, Australia, Singapore, Manila, Middle East and Cairo, and Istanbul offices, based on payroll calendar
- Manage Peoplesoft data changes coming from Employee Self Service Portal. Handles various data entry and uploads on the HR system for selected information such as UK NI number, employee photo, and other transactions on behalf of the local office
- Conduct the secured distribution of Local Partner and Counsel Data Sheets and answers queries related to the data sheet, escalate to Finance for related queries. Exit Management
- Leaver Process Administration. Prepares related communications to leaving employee and relevant departments, set up exit interview and complete departure checklist.
- HR Case Management System Administration. Create cases and respond to ad hoc queries from employees. Provides input for Knowledge Management within the team (including creation and ownership of documentation/job aids), sharing best practices within the team, striving for continual improvement in service delivery, participating in improvement initiatives.
- Performs other job-related duties as assigned including providing coverage to tasks assigned.
Qualifications
- Bachelor's/College Degree
- Minimum of 3-year general administrative experience
- Customer Service skills required for the position
- Excellent communication skills – written and verbal – and ability to work at all levels
- Working knowledge of ServiceNow and Microsoft Office tools (Outlook, Excel, PowerPoint, and Word)
- Amenable to work in rotating shifts (APAC, EMEA and Americas time zones), Hybrid set-up
Essential Job Requirements
- 3 years of HR Administration work experience gained from working in an HR environment
- 1 year of BPO / HR Shared Services work experience in either HR Operations and HR Systems role, from a multinational, blue-chip, professional, or financial services organization
- Demonstrated ability to learn new functional concepts quickly and work with minimal supervision
- Demonstrated ability to handle and maintain confidential and sensitive information
- Ability to collaborate and actively contribute to a strong team environment, yet able to work independently and take ownership of tasks
- Client-focused attitude. Experience providing client service to internal and external client
- Ability to successfully manage multiple responsibilities with competing priorities and strict deadlines. Must have the ability to re-prioritize work as required
- Ability to communicate effectively at all levels within the firm
Location & Reporting
- This role is based in Manila and reports to the Manager, HRSS Service Delivery
