Position: Onsite Assistant Property Manager - Home Owners Association

We are currently seeking an experienced Property Manager to oversee the operations of a vibrant HOA community. The ideal candidate will have strong leadership skills, a customer-focused attitude, and a deep understanding of HOA property management best practices.
Job Summary: The Onsite Property Manager will representative the SVN | Second Story team, responsible for overseeing the day-to-day operations of a 480+ unit HOA community. This role requires a proactive leader who will ensure the community is well-maintained, financially sound, and operates smoothly while maintaining positive relationships with residents and vendors. This manager will oversee an onsite property management team including an APM, Staff Accountant, Leasing Agent and Maintenance Technicians.

Key Responsibilities
Resident Relations & Communication
Support the Property Manager with day-to-day homeowner/tenant communication
Serve as a primary point of contact for residents entering the office, via email/text support and answering the phones; address inquiries, resolve issues, and provide information on community guidelines and amenities.
Respond promptly and professionally to resident communication via phone, email, or in person.
Coordinate and distribute resident notices, event flyers, announcements, and other communications.
Support rent/dues collection by sending reminders, logging communications, and assisting with payment processing.
Assist Property Manager with leasing and renewals for homes enrolled in our Rental Program on an as needed basis.
Assist with move-in/move-out coordination, including checklists, scheduling, and file updates.
Administrative & Operational Support
Provide direct administrative support to the Property Manager, including scheduling, calendar management, and preparation for meetings, inspections, or board sessions.
Meet Key Performance Indicators for the role set forth by the Property Manager
Maintain accurate records, including resident files, financial documents, compliance paperwork, and maintenance logs.
Manage office supplies, filing systems, and organization of onsite documents to keep the office running efficiently.
Assist with service request communication on an as needed basis using the property management system (AppFolio).
Understand unit turns, maintenance timelines, and vendor coordination in partnership with the maintenance team on an as needed basis.
Property & Maintenance Support
Assist in coordinating maintenance requests with homeowners and vendors on an as needed basis.
Provide vendor access, support special projects, and assist with property tours as needed.
Assist in ensuring vendor compliance and proper file documentation.
Act as an extra set of eyes for the Property Manager to ensure the property is well maintained and homeowners/tenants are cared for.
Qualifications:
Required: Experience in multifamily property management
Preferred: Bachelor’s degree in business administration, property management, or related field
Excellent organizational, verbal and written communication skills
Proficiency in property management software (AppFolio Management software experience a plus)
Technologically efficient (familiar with Google GSuite and Microsoft platforms)
Able to work on a team and excel in a team setting
Ability to problem solve and handle large projects
Ability to quickly adapt to change and face challenges head on with a problem solving mentality
Attention to detail and ability to manage multiple projects and demands
Physical requirements: must be able to report in person to office and walk properties, lift 30 lbs and climb stairs
Compensation Details:
Full-time, hourly position
In person: Monday - Friday, 9:00AM - 5:30PM
