Job Overview
We are seeking a dynamic and highly organized Automotive Office Manager to lead our administrative operations within a busy automotive dealership environment. In this role, you will oversee daily office functions, coordinate administrative tasks, manage vendor relationships, and support the overall efficiency of our automotive team. Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and maintaining professional phone etiquette.
- Oversee schedule management for service appointments, meetings, and staff calendars to optimize daily operations.
- Supervise administrative staff, providing training & development opportunities to enhance team performance.
- Coordinate vendor management activities, including negotiating contracts, processing invoices, and maintaining supplier relationships.
- Handle bookkeeping and accounting tasks using QuickBooks or similar software to ensure accurate financial records and timely billing.
- Oversee office budgeting, payroll processing, and human resources functions such as employee onboarding, record keeping, and compliance.
- Maintain organized filing systems for client records, service histories, and other essential documents while ensuring confidentiality.
- Support medical office management responsibilities if applicable, including appointment scheduling and patient record organization.
- Assist with event planning for dealership promotions or community outreach initiatives to boost engagement.
- Ensure efficient office management by implementing process improvements that enhance productivity and customer satisfaction.
Experience
- Proven supervisory experience in an office setting within the automotive industry or related fields.
- Strong background in administrative roles with extensive clerical experience including filing, calendar management, and front desk duties.
- Familiarity with QuickBooks accounting software and basic bookkeeping principles.
- Experience managing vendor relationships, contracts, and budget oversight.
- Demonstrated ability to handle payroll processing and human resources functions effectively.
- Excellent communication skills paired with organizational prowess to coordinate multiple tasks seamlessly.
- Prior experience in medical office management or healthcare settings is a plus but not required.
