Job Title: Back Office Administrator

Reporting to: Head of Operations

Location: Zaandam


MAIN OBJECTIVES

  • Provide broad administrative and management support to ensure smooth daily operations across HR, finance, and travel functions.
  • Assist in maintaining accurate administrative and financial records in line with company policies and Dutch regulations.
  • Support management with scheduling, coordination, and communications to improve efficiency and organization.
  • Assist with travel arrangements and visa administration during peak periods.

RESPONSIBILITIES / ACCOUNTABILITIES/ TASKS

1. General Administratoin support

1.1.Provide general administrative support to the operations and project coordination teams.


1.2. Maintain HR records, assist with onboarding, and ensure compliance with HR requirements.


1.3. Support Health & Safety documentation and company policy administration.


1.4. Assist in organizing company meetings and maintaining office documentation systems.

2. Management Assistance

2.1. Provide direct support to management through scheduling meetings, managing calendars, and preparing agendas and minutes.

2.3. Coordinate management-related logistics such as meetings, events, and travel.

2.4. Handle confidential information with discretion and professionalism.

4. Finance Administration

4.1. Assist with processing invoices, purchase orders, and expenses.

4.2. Support the finance team in maintaining accurate financial records.

4.3. Prepare documentation for monthly and quarterly financial reporting.

5. Travel Coordination

5.1. Manage visa or documentation requirements for traveling colleagues where applicable

5.2. Assist in arranging travel and accommodation for staff, subcontractors, and management.
