Booking Administrator - Eyes, Ent

Dunedin Hospital

  • Salary between $74,090 and $77,200 per annum
  • Parental leave cover until September 2025
  • 1.0 FTE (40 Hours per week)

About the role

The key purpose of the role is to effectively contribute to the smooth running of the Ophthalmology and ENT Department by providing an efficient and timely administrative support function that is responsive and flexible to the changing needs of the service/organisation. The primary function of the administrative support provided by this role is that of booking patients into ophthalmology and ENT appointments, following all classifications and guidelines as instructed.

This role will:

  • ensure the patient journey through the service is as stress free as possible
  • communicate with patients through a number of communication channels available
  • ensure patients are called in for short notice appointments or cancellations
  • collect faxed forms are collected and load into RIS
  • print and process electronic referrals
  • manage patient booking to best maximise Radiology resources
  • direct clinical queries to the appropriate person.

About you

You must be a team player with strong communication skills, who understands and appreciates the need for attention to detail. You must also be comfortable interacting with a variety of people and attending to issues that arise - usually at the same time!

To succeed in this role, you will also need to have:

  • at least three years administrative experience
  • excellent time management, prioritisation, interpersonal and organisational skills
  • the ability to be adaptable, flexible and solution focused
  • strong computer skills
  • the ability to work independently and as part of a team
  • competency with te ao Māori, tikanga, and te reo Māori or a commitment to starting your journey and taking ownership of your learning and growth
  • experience in projects / initiatives which give effect to Te Tiriti principals and frameworks, and the application of Mātauranga Māori and Kaupapa Māori approaches, particularly as they apply in healthcare settings.

Salary range

This role is covered by the terms and conditions of the PSA South Island Clerical Multi-Employer Collective Agreement and the salary will be in accordance with the National Health Administration Workers Pay Scale, Band 5 between $74,090 and $77,200 p.a. dependant on relevant experience.
