Client Service Associate (Advisory Firm Support)

Position Summary

The Client Service Associate provides high-quality, non-advice support to clients and the advisory team. This role is responsible for maintaining client records, preparing and processing custodian and firm paperwork, supporting client transactions and asset transfers, coordinating client meetings, and preparing standard reports and materials.

This position balances client-facing service with operational execution and is well suited for someone who is organized, detail-oriented, responsive, and motivated to grow within a planning-focused advisory firm.

Key ResponsibilitiesClient Service (Non-Advice)

  • Serve as a primary point of contact for administrative and operational client needs
  • Respond to client inquiries and resolve service requests in a timely, professional manner
  • Maintain regular contact with clients to obtain updated information and ensure records remain accurate
  • Provide proactive status updates to clients and internal team members regarding service requests, paperwork, and transfers

Client Records & Data Management

  • Set up and maintain client records across firm systems, including CRM, document management, and custodial platforms
  • Ensure client documentation is accurate, complete, and securely stored in accordance with firm procedures

Custodian & Firm Paperwork

  • Compile, prepare, and process client onboarding and maintenance paperwork
  • Review paperwork for completeness and accuracy and follow up to resolve missing or incorrect information

Transactions, Service Operations & Asset Movement

  • Execute operational tasks such as asset transfers (ACATs), deposits, withdrawals, and other account-related requests per firm workflows
  • Review and monitor account activity for accuracy and completeness and escalate issues when needed
  • Track time-sensitive requests through completion and clearly communicate next steps

Reporting & Meeting Coordination

  • Prepare standard client reports and meeting materials (non-advice)
  • Schedule client meetings, manage calendars, and coordinate confirmations and reminders
  • Support pre- and post-meeting follow-up, including documenting action items and ensuring completion

General Advisory Team Support

  • Provide administrative and operational support related to portfolio and investment implementation (non-advice)
  • Assist with workflow management, task tracking, and process improvements that enhance the client experience

What This Role Does Not Do

This role does not provide investment advice, recommendations, or portfolio decisions. The Client Service Associate supports the advisory team through service, operations, and execution.

QualificationsRequired

  • 2+ years of experience in client service, operations, or administrative support (financial services strongly preferred)
  • Exceptional attention to detail and ability to manage multiple concurrent requests
  • Strong written and verbal communication skills with a client-first mindset
  • Ability to handle confidential information with discretion and professionalism
  • Proficiency with standard office tools (email, calendar, spreadsheets, PDFs) and ability to learn new systems quickly

Preferred

  • Experience in an RIA, wealth management, brokerage, or custodian environment
  • Familiarity with custodial paperwork, transfers, ACATs, and onboarding workflows
  • Experience using CRM and document management systems

Technology & Systems (Training Provided)

Our firm uses modern advisory technology, including:

  • Custodial platforms such as Charles Schwab and Altruist
  • CRM systems such as Salesforce, Wealthbox, or similar
  • Financial planning software such as RightCapital or equivalent
  • Secure document management and collaboration tools

Prior experience is helpful but not required.

  • Positive client feedback and strong internal partner satisfaction

Compensation

  • Base salary range: $55,000 – $70,000, based on experience and demonstrated skills
  • Annual discretionary bonus eligibility based on individual and firm performance
