Clinic Admin Assistant

Job Overview:

The Clinic Admin Secretary is responsible for ensuring smooth and efficient administrative operations in the clinic. This position requires excellent organizational skills, a professional demeanor, and the ability to handle multiple tasks simultaneously. The Clinic Admin Secretary serves as the first point of contact for patients, visitors, and staff, and is integral to maintaining a welcoming and efficient environment.

Key Responsibilities:

  • Reception Duties: Greet patients and visitors in a friendly and professional manner. Answer phone calls, schedule appointments, and direct inquiries to appropriate departments.
  • Patient Records Management: Maintain accurate patient records, ensuring proper filing, documentation, and privacy compliance in line with health regulations.
  • Administrative Support: Assist with office management tasks, including ordering supplies, managing office equipment, and maintaining clinic supplies.
  • Billing and Insurance Coordination: Assist with patient billing, insurance verification, and claims processing, ensuring accuracy, BIR reports
  • Data Entry: Accurately input patient information and other relevant data into the clinic's management system.
  • Cleaning & Maintenance: Ensure the clinic is clean, tidy, and well-organized at all times. Perform light cleaning duties such as wiping down surfaces, maintaining waiting areas, and ensuring bathrooms are stocked and hygienic. Coordinate with cleaning staff for deeper cleaning tasks as needed.

Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration, medical office management, or similar fields is a plus.
  • Proven experience in an administrative role, preferably in a healthcare or medical setting.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills is a must
  • Ability to multitask, prioritize, and manage time effectively.
  • Professional demeanor and ability to work well in a team environment.

  • Full-time position.

Job Type: Full-time
