Clinical Assistant (Healthcare Industry)

About OneImaging

OneImaging is committed to providing high-quality, accessible imaging services that improve patient outcomes and streamline care. We work closely with members, providers, and partners to ensure imaging orders are processed accurately, prior authorizations are handled efficiently, and members experience seamless care from referral to scheduling.

Position Summary

As a Clinical Assistant, you play a critical role in ensuring imaging orders are accurate, complete, and ready for scheduling or prior authorization. You are responsible for reviewing, validating, and processing imaging orders and clinical documentation received through multiple channels, while maintaining strict attention to detail and patient safety standards.

This is a high-impact, detail-oriented role where accuracy, clinical judgment, and operational discipline directly affect member experience, provider satisfaction, and downstream scheduling success. Clinical Assistants work closely with Care Navigators, Prior Authorization partners, and internal teams to ensure timely progression of imaging orders through the OneImaging workflow.

What You’ll Be Doing

  • Process Imaging Orders & Documents: Upload, classify, and manage imaging orders and related documents received via fax, SMS, email, or other approved channels. Ensure all documents are accurately matched to the correct member profile.
  • Meeting Performance Goals: Consistently meet weekly and monthly Clinical Assistant targets, including order volume, processing turnaround time, order accuracy, member satisfaction, and SMS/email order intake management.
  • Quality Assurance Checks: Review imaging orders for completeness and accuracy, including exam type, CPT and ICD-10 codes, ordering provider information, urgency, and required fields before advancing orders in the dashboard.
  • Ensure Patient Safety & Compliance: Verify provider signatures and review orders for patient safety considerations such as allergies, pregnancy status, and implants or devices. Identify missing or invalid information and take appropriate corrective action to prevent delays.
  • Prior Authorization (PA) Processing: Submit prior authorization requests through the OneImaging dashboard when required, attach clinical documentation, monitor PA status, respond to requests for additional information, and confirm approvals or outcomes accurately.
  • Maintain Accurate Documentation & Reporting: Document all actions, decisions, and updates in the member profile and internal tracking tools. Save imaging reports to the correct member profile to ensure timely access for members and providers.
  • Collaborate Across Teams: Work closely with Care Navigators, team leads, and cross-functional partners to ensure smooth handoffs, timely scheduling readiness, and clear communication.

What You Need to Have

  • Strong English proficiency with the ability to document and communicate clearly and professionally.
  • 1–3+ years of experience in healthcare operations, clinical support, medical records, prior authorization, or related roles.
  • Familiarity with imaging orders, CPT/ICD-10 codes, and prior authorization workflows (preferred).
  • Exceptional attention to detail and ability to manage high document volume accurately.
  • Comfort working in dashboards, CRMs, spreadsheets, and clinical systems.
  • Ability to follow complex SOPs and make sound judgment calls within defined guidelines.
  • High school diploma required; Associate’s or Bachelor’s degree preferred (healthcare-related fields a plus).

Key Competencies

  • Attention to Detail: Accuracy is critical; small errors can cause significant delays.
  • Adaptability: Comfortable with evolving tools, workflows, and client-specific requirements.
  • Clinical Judgment: Ability to identify missing, incorrect, or unsafe order details.
  • Process Discipline: Consistently follows SOPs and documentation standards.
  • Problem-Solving: Anticipates issues and resolves them before they impact members.
