Position: Hospice Clinical Support Specialist
Job Type: Part-time (20 hours/week)
Location: Remote, US-PST daytime hours

Overview

We are seeking a highly skilled Hospice Clinical Support Specialist to assist our clinical leadership and interdisciplinary team with documentation, survey preparation, and operational clinical support. This role requires a licensed clinician (RN, LVN/LPN, or equivalent) with hospice experience and strong proficiency in WellSky. The ideal candidate is detail-oriented, knowledgeable about hospice regulations (or quick to learn), and able to support high-quality, compliant patient care.

Key Responsibilities

Clinical & Documentation Support

• Assist with hospice visit notes, documentation accuracy, and timely chart updates.
• Review clinical records for compliance, completeness, and consistency.
• Support clinicians by organizing and entering clinical data into WellSky.
• Ensure documentation aligns with hospice guidelines and regulatory requirements.
• Help prepare records and materials for IDG meetings.
• Manage documentation backlogs such as unsigned orders, late entries, and pending visit notes.
• Track expiring certifications, required signatures, and upcoming recertifications.
• Monitor and follow up on missing or incomplete documentation from field staff.

Survey Preparation & Compliance Support

• Assist with survey readiness, including gathering required documents and ensuring compliance with state and federal hospice regulations.
• Help maintain organized, audit-ready files and quality assurance documentation.
• Identify potential documentation gaps and communicate needed corrections.
• Stay informed on hospice guidelines or learn them quickly through training.

Operational & Team Support

• Provide virtual administrative and clinical coordination support to the interdisciplinary team.
• Assist with policy, procedure, and compliance workflows.
• Track patient status changes and ensure documentation is updated in a timely manner.
• Support intake coordination, including processing new referrals and uploading documentation.
• Monitor inboxes, triage messages, and route clinical communication appropriately.
• Assist with schedule coordination, visit confirmations, and follow-ups with field staff.
• Process physician orders and ensure timely signature return.
• Upload labs, hospital records, and external documents.
• Verify visit frequencies and update care plans.
• Monitor pending tasks in WellSky and clear aged tasks.
• Maintain a high standard of professionalism, confidentiality, and patient-centered focus.

Preferred Skills & Qualifications

• Licensed clinician (RN, LVN/LPN, or equivalent) required.
• Hospice experience required.
• Proficiency with WellSky required.
• Strong understanding of hospice regulatory guidelines, or ability to learn quickly.
• Excellent written and verbal communication skills.
• Highly organized with strong attention to detail.
• Ability to work independently and meet deadlines without compromising quality.
• Experience supporting survey readiness is a plus.

Bonus / Nice-to-Have Skills

• Experience in quality assurance or compliance roles.
• Strong knowledge of Medicare hospice guidelines.
• Familiarity with interdisciplinary team workflows.

Job Type: Part-time

Pay: Php32,000.00 - Php37,000.00 per month
