Customer Service: Practice Management Assistant

Job Summary:

The Customer Service: Practice Management Assistant plays a vital role in ensuring smooth administrative and patient coordination functions. This role involves close collaboration with the Practice Manager, healthcare providers, and clients to maintain a streamlined and responsive practice environment.

Key Responsibilities:
Administrative Support

  • Manage day-to-day communications including phone calls, emails, appointment reminders, and general inquiries.
  • Support scheduling for clinicians/providers and assist in coordinating session preparation.
  • Use and maintain relevant practice software such as Open Dental, MS Bookings, and internal tools.
  • Conduct data entry, including contact information updates and patient record linkage to LinkedIn.
  • Assist with LinkedIn marketing content as directed by the Practice Manager.
  • Provide urgent administrative assistance to the Practice Manager when needed.

Patient Coordination

  • Coordinate and confirm patient appointments ensuring accurate and timely scheduling.
  • Collect and verify key patient information such as DOB, insurance (PRSI, VHI), and contact details.
  • Assist with billing procedures using Stripe and prepare necessary documentation for insurance claims.
  • Issue receipts and treatment summaries to patients for claim purposes.

Qualifications:

  • Prior experience in a healthcare, dental, or clinical admin setting preferred.
  • Proficiency in practice management tools (e.g., Open Dental, MS Bookings).
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to multitask and manage time efficiently.
  • Comfortable working in a dynamic and fast-paced environment.

Location: Cabancalan Mandaue City, Philippines (Onsite) Preferred Mandaue Base candidates.
Working Hours: 03:00PM - 12:00 PH Time
Monday to Friday (2 days off per week)
Support Region: IRELAND / UK
