Dental Office Manager

Position Title: Dental Office Manager
Employment Type: Full-time

Position Summary

Down To Earth Dental is a privetly owned dental practice in Tacoma. The Dental Office Manager oversees the daily operations of the dental practice, ensuring efficiency, compliance, and a positive patient experience. This role requires strong leadership, organizational skills, and knowledge of dental office procedures, billing, and regulatory standards.

Key Responsibilities

  • Manage the day-to-day operations of the dental office, including scheduling, billing, and patient records.
  • Supervise, train, and support front desk and administrative staff.
  • Maintain compliance with HIPAA, OSHA, and other healthcare regulations.
  • Develop and implement office policies and procedures to improve efficiency.
  • Coordinate staff schedules and manage time-off requests.
  • Foster a welcoming environment to enhance patient satisfaction.
  • Assist with recruitment, onboarding, and performance reviews.
  • Communicate regularly with dentists, hygienists, and assistants to ensure smooth operations.
  • Resolve patient concerns professionally and promptly.

Qualifications

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • 3+ years of experience in dental or medical office administration.
  • Knowledge of dental terminology, insurance processing, and dental software (Dentrix)
  • Strong leadership, communication, and problem-solving skills.
  • Ability to multitask and manage a fast-paced environment.
  • Excellent organizational and time-management abilities.

Skills & Competencies

  • Leadership & Team Management – ability to motivate and supervise staff.
  • Financial Management – understanding of billing, collections, and reporting.
  • Patient Relations – compassionate and professional communication with patients.
  • Technology Proficiency – experience with practice management software and Microsoft Office Suite.
  • Compliance Knowledge – familiar with HIPAA, OSHA, and infection control standards.
