Dental Receptionist/ Scheduling Coordinator

Job Summary
We are seeking an energetic and detail-oriented Receptionist/Scheduling Coordinator to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, providing exceptional customer service while managing appointment scheduling and administrative support. Responsibilities

  • Greet patients and visitors warmly, ensuring a positive first impression and delivering outstanding patient service.
  • Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and clear communication.
  • Schedule patient appointments efficiently using electronic health record systems.
  • Develop and maintain a master schedule for all activities, such as appointment confirmations, insurance verifications, and tracking and reporting on lab activities.
  • Coordinate with other departments to ensure that all activities are reflected on the schedule and that the schedule is completed promptly.
  • Communicate with the patients and staff to meet all scheduling requirements.
  • Provide regular updates on the status of activities and any changes to the master schedule.
  • Monitor and adjust the master schedule as needed.
  • Greeting patients with a cheery attitude
  • Monitor and maintain the reception area.
  • Ensure that all patients are happy, relaxed, and updated while waiting.
  • Monitor new patients' appointments for FMX and registration.
  • Assist patients in completing forms and documentation.
  • Verify and update patient information.
  • Inform patients of dental office policies and procedures as needed.
  • Move patients through appointments as scheduled.
  • Answer and manage incoming calls with an upbeat demeanor.
  • Schedule patient appointments
  • Confirm upcoming appointments as needed and reschedule broken appointments.
  • Organize referrals to other medical specialists.
  • Dispatch lab work appropriately
  • Collect and receive payments from patients at the time of treatment.
  • Inform patients of financial treatment plan options.
  • Arrange payment schedules with patients.
  • Verify dental and medical insurance coverage and benefits, including Medicare, ensuring accurate insurance verification prior to appointments.
  • Collect and review patient documentation, including intake forms, medical histories, and care plans, maintaining compliance with HIPAA regulations.
  • Maintain accurate medical records by filing documents correctly.
  • Support clinic operations through administrative tasks such as data entry, filing, typing reports, and managing office supplies.
  • Collaborate with clinical staff to ensure timely appointment scheduling and patient flow management.
  • Handle sensitive health information with confidentiality and professionalism in accordance with HIPAA standards.
  • Utilize computer skills across various platforms including Microsoft Office Suite to prepare reports and correspondence as needed.
  • Perform other clerical duties such as faxing, scanning documents, and managing incoming correspondence to support overall office management.

Experience

  • Prior experience in a medical office setting or healthcare environment is highly preferred.
  • Experience with medical billing or collections related to medical services is advantageous.
  • Excellent customer service skills combined with professional phone etiquette and active listening abilities.
  • Bilingual capabilities are a plus to serve diverse patient populations effectively.
  • Familiarity with dental terminology and dental office procedures is beneficial for dental clinic settings.
  • Ability to adapt quickly in a fast-paced environment while maintaining accuracy and attention to detail. Job Types: Full-time, Part-time

Pay: $20.00 - $24.00 per hour
