About the Role
The Employee Services Coordinator primarily oversees the full recruitment and onboarding process across the organization, ensuring a smooth experience for candidates and hiring managers. This role manages and coordinates the administrative aspects of hiring, including job postings, managing candidate communication, maintaining the applicant tracking system (ATS), coordinating onboarding, and maintaining accurate and compliant electronic recruitment files. The role also supports the Corporate Recruiter with their responsibilities related to organizational recruitment initiatives.

Job Duties and Responsibilities


Recruitment and Onboarding:

  • Prepare job postings and apply relevant pre-screening questions, then close job postings using the Applicant Tracking System
  • Maintain job posting process and act as a contact for individuals, both internal and external, for recruitment questions
  • Share job opportunities on the County of Lambton social media pages
  • Liaise with contacts to post County jobs at various facilities including external agencies and special job boards.
  • Release candidates to the hiring managers in accordance with the relevant collective agreements and organizational policies
  • Work with Managers/Supervisors to create interview questions and participate in the interview process as required
  • Assist with reference checks as needed
  • Prepare letters of offer for all new hires and internal transfers
  • Oversee the development and maintenance of the electronic on-boarding documentation system related to new hires and rehires
  • Support new hires and rehires during the corporate onboarding process by providing guidance, answering questions, and troubleshooting issues
  • Maintain accurate and compliant digital recruitment files
  • Obtain, review, and file required documents for employee and recruitment files; review incoming files from the field and ensure appropriate and required documentation is received.
  • Maintain close communication with all divisions in the corporation for recruitment purposes
  • Provide assistance to internal and external users of the ATS with general inquiries, concerns, questions, etc.; provide system training to new ATS users as required
  • Liaise with external partners for summer student recruitment
  • With the Corporate Recruiter, promote the organization through various events to attract top talent
  • Post Community Partner job opportunities to the County job board as requested

Technology/Research/Reports:

  • Track recruiting metrics and prepare reports
  • In conjunction with the HRIS Specialist, conduct ongoing review of the ATS and performance management functionality within the HRIS with a view to find efficiencies and streamline processes
  • In conjunction with the HRIS Specialist, review and assess ATS updates prior to implementation
  • Communicate new processes, functionality to internal and external users as necessary including the development and provisions of both oral and written training
  • Support the HRIS Specialist by overseeing performance management in the system; act as the main contact for questions and administrative processes, develop and deliver training as needed
  • Streamline and oversee processes for exit interviews through available HRIS functionality

Policy/Procedures:

  • Assist the Corporate Recruiter in reviewing relevant recruitment policies and procedures and suggest amendments as needed
  • Analyze changes in legislation and/or labour laws as they relate to recruitment practices and provide suggested changes as needed

General:

  • Incumbents must keep up-to-date on all relevant legislation, collective bargaining agreements, County Policies and Procedures, etc. ensuring that these are implemented as prescribed
  • Incumbents must possess the physical ability to meet the duties and responsibilities of the job description and/or the requirements identified within the position's Physical Demands Analysis

Minimum Formal Education

  • A two (2) year Community College diploma in the field of Human Resources or Business Administration preferred.

Experience

  • Comprehensive knowledge of the hiring process, including recruiting, interviewing, and onboarding
  • High degree of discretion and ability to maintain confidentiality
  • Technical proficiency with ATS/HRIS systems (UKG experience an asset)
  • General knowledge of Human Resources
  • Experience working in a unionized environment
  • Proficient in in all Microsoft programs,
  • Must possess diplomacy, tact and communication (verbal and written) skills
  • Excellent problem-solving skills and organization skills
