Role Summary:
We are seeking an exceptionally sharp and highly capable Executive Assistant to provide direct support to Sabrina Li, the Founder and CEO of the Law Offices of Sabrina Li, P.C. This role blends traditional executive support with a strong emphasis on digital tools, process automation, and high-level coordination. The ideal candidate is articulate, proactive, discreet, and adept at handling both professional and personal matters. This is a key position in a remote, fast-paced, and mission-driven legal environment.
Key Responsibilities:
Executive Communication & Calendar Management
- Monitor and manage the CEO's inbox, prioritizing and flagging important communications
- Draft and send professional correspondence to both internal and external stakeholders
- Maintain and coordinate a complex calendar for both business and personal commitments
- Prepare meeting materials, take detailed notes, and track follow-up actions
Strategic Project & Task Oversight
- Track and manage multiple ongoing projects and initiatives
- Provide regular updates and reminders on priorities and deadlines
- Liaise with team members, partners, and vendors to ensure seamless execution
Business Development & External Liaison
- Schedule and follow up on business development meetings and engagements
- Coordinate with external vendors and partners to support executive initiatives
- Maintain accurate records of outreach and follow-through
Document & Information Management
- Organize and oversee document storage systems for both business and personal files
- Ensure up-to-date documentation, track deadlines, and send timely reminders
- Support coordination between administrative, legal, and finance teams
Technology & Workflow Optimization
- Use platforms like ChatGPT, Google Gemini, Box AI, and Salesforce to enhance workflows
- Manage task boards and timelines via Monday.com
- Leverage automation tools to streamline internal processes
Reporting & Insights
- Compile weekly or monthly reports highlighting metrics, project statuses, and key updates
- Track interdepartmental progress and flag potential delays or risks
Personal & Lifestyle Support
- Coordinate travel, appointments, and personal tasks
- Align personal and business calendars to prevent scheduling conflicts
- Assist with special occasions, reservations, and errands
Qualifications:
Education & Experience
- Bachelor's degree in Business Administration, Communications, Legal Studies, Information Systems, or related field
- Minimum 5 years of experience supporting executives or founders in a fast-paced environment
- Experience in project coordination, operations, or strategic support
Skills & Attributes
- Native-level fluency in English; excellent verbal and written communication skills
- Highly organized and detail-oriented, with excellent multitasking ability
- Strong interpersonal and stakeholder management skills
- Discreet and reliable when handling confidential matters
- Proactive, tech-savvy, and solutions-oriented
Technical Proficiency
- CRM Systems: Experience with Salesforce or similar
- Project Management: Proficient in Monday.com
- AI Tools: Familiarity with ChatGPT, Gemini, Box AI, and similar platforms
- Financial Tools: Experience with QuickBooks a plus
- Productivity & Scheduling: Proficient in Google Workspace, Microsoft Office, Calendly, Dialpad, and Zoom
Compensation Package:
- Monthly Compensation: USD 1,200 - 2,000, based on experience and qualifications.
- Health Insurance: 5% monthly subsidy after successfully completing the probationary period.
- Paid Leave:
- U.S. federal holidays
- 5 days of paid annual leave
- 5 days of paid sick leave
- Paid local holidays after the first 12 months
- Performance Bonuses: Based on defined KPIs
- Remuneration Reviews: Conducted regularly to reflect performance and market benchmarks
Working Hours:
This is a full-time role, operating Monday to Friday. Working hours are 5:00 AM 2:00 PM Pacific Daylight Time (8:00 PM 5:00 AM Philippine Time), with some flexibility based on CEO availability and business needs.

Additional Information:
- This is a fully remote position based in the Philippines.
- You will be engaged as an independent contractor and are responsible for your own tax compliance under local regulations.
- A 3-month probationary period applies, with performance reviews conducted for continuation.
