Position Summary
The Executive Assistant provides high-level administrative and organizational support to the CEO, ensuring the day-to-day flow of work is coordinated, reliable, and responsive. The role supports the CEO by managing schedules, logistics, preparation, and follow-through in a fast-paced environment.
The position requires strong judgment, organization, and attention to detail, along with the ability to anticipate needs, manage shifting priorities, and track commitments through completion. The Executive Assistant prepares for meetings and supports thoughtful handling of relationships and communications.
In addition to supporting the CEO, the role provides coordination and administrative support to Development-related activities, including preparation, tracking, and follow-up. This position is well suited to someone who takes ownership of their work, operates comfortably with independence, and brings warmth, discretion, and steady execution to their support of both people and processes.
Key Responsibilities
Executive and Administrative Support:
- Provides high-level administrative support to the CEO and selected senior leaders.
- Manages a complex and fast-moving calendar, sequencing meetings, travel, preparation time, and buffers to reflect the true flow of the day.
- Coordinates travel and logistics with realistic timing and preparation needs in mind.
- Prepares leadership for meetings by organizing materials, context, and key reminders.
- Captures notes, action items, and follow-up from meetings as needed.
- Reviews and triages incoming communications on behalf of leadership, determining priority and routing appropriately.
- Drafts correspondence and summaries, and translates inputs from conversations and voice notes into clear next steps and follow-through.
Development and Donor Support:
- Provides administrative and coordination support for Development-related activities.
- Assists with preparation for donor, partner, and stakeholder meetings, including background research and logistical coordination.
- Supports donor stewardship activities such as acknowledgments, thank-you communications, and routine follow-up.
- Maintains organized records related to donor and partner interactions, contributions, and communications.
- Ensures Development-related follow-up items are tracked and completed in a timely manner.
- Coordinates administrative aspects of fundraising initiatives, events, or campaigns as needed.
Project and Coordination Support:
- Supports special projects led by the CEO by providing administrative structure, project coordination, and follow-through.
- Coordinates timelines, materials, and logistics across internal teams and external partners.
- Tracks action items, deadlines, and dependencies to help ensure projects move forward smoothly.
General Administrative Responsibilities
- Maintains organized electronic and physical files, records, and reference materials.
- Performs routine office and administrative tasks as needed.
- Performs additional duties as assigned.
Qualifications & Experience
- Experience in an administrative, coordination, or operations support role.
- Demonstrated ability to manage complex schedules, logistics, and competing priorities in a fast-paced setting.
- Strong organizational skills, with the ability to track details, relationships, and follow-up across multiple workstreams.
- Ability to translate information from conversations, notes, or informal inputs into clear actions and reliable follow-through.Excellent written and verbal communication skills, with sound judgment and discretion when handling sensitive or confidential information.
- Comfort using spreadsheets, document tools, and evolving systems to manage contacts, tasks, and records.
- Demonstrated alignment with mission-driven work and the ability to bring warmth, professionalism, and reliability to collaborative environments.
- Bachelor’s degree in Business Administration, Communications, Nonprofit Management preferred but not required

Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Occasional standing, walking, bending, and reaching, particularly when reviewing or organizing inventory or physical files.
