Position Overview
Essential Duties & Responsibilities
- Manage complex diaries, schedule meetings and proactively navigate changing priorities for the Managing Director.
- Prepare high‑quality meeting agendas, briefs, documentation and track follow‑up actions.
- Oversee inbox management, flagging priorities, drafting correspondence and ensuring timely responses.
- Coordinate domestic and international travel, including itineraries, logistics and APAC/Global visit schedules.
- Liaise confidently with internal teams, senior leaders, global counterparts and external stakeholders.
- Organise and support events, workshops, off-sites and executive engagements.
- Handle expenses, receipts and reconciliations with accuracy and timeliness.
- Maintain confidentiality while managing sensitive information and business matters.
- Support project work, research, data gathering and preparation of executive materials.
- Maintain organised records, files and shared drives to ensure strong operational rhythm.
- Coordinate with APAC and Global EA networks to ensure alignment, message consistency and seamless visitor experiences.
Experience, Skills, and Knowledge
- Proven experience in an Executive Assistant or similar senior administrative role.
- Outstanding communication and interpersonal skills, with the ability to engage confidently across all levels of the organisation.
- Exceptional attention to detail, strong organisational capability and a proactive approach to managing competing priorities.
- A friendly, customer‑focused, can‑do attitude, with high energy and a collaborative mindset.
- Ability to work autonomously, problem‑solve quickly and thrive under pressure in a fast‑paced, deadline‑driven environment.
- Strong proficiency in Outlook and the Microsoft Office suite.
- Ability to build team engagement and support team culture through high levels of initiative and collaboration.
- Flexibility to occasionally support executive requirements outside standard office hours.
