We provide more than 120 health and social care services to people in the north, north-west and north-east of metropolitan Melbourne, as well as statewide services with Carer Gateway and Gambler's Help.

About the role

Holstep Health is seeking a dynamic, highly organised and proactive Executive Assistant to support the Executive Director - Client Services. Reporting to the Executive Assistant Lead, this is an exciting opportunity for an experienced administrative professional to join a growing organisation committed to innovation and excellence in health services.

As the Executive Assistant, you'll play a pivotal role in ensuring the Executive Director's time, priorities, and projects are managed with care and precision. You'll also collaborate with the wider executive support team and work across multiple divisions to help drive strategic goals and deliver smooth, high-quality business operations; whilst managing two Administrative Assistants to support the overall delivery.

Key selection criteria

  • Relevant experience in providing high level proactive support to an Executive Director, preferably in a similar role in health, disability and/or community services industry

  • Demonstrated organisational and time management skills with the ability to manage competing priorities while providing administrative support to the Executive Director

  • Ability to work with broad supervision, and to identify priorities to meet competing deadlines.

  • Excellent written and verbal communication skills, including the ability to draft professional documents, correspondence, and summarise information.

  • Ability to communicate with influence and work collaboratively to resolve complex issues

  • Proven ability to build and manage relationships with a broad range of stakeholders, including senior executives, government, and community leaders.

  • Highly developed Microsoft Office skills (Outlook, Word, Excel and PowerPoint) and confidence in using digital tools for scheduling, project tracking, and reporting

Key Responsibilities:

  • Provide high-level, confidential administrative support to the Executive Director - Client Services

  • Manage calendar appointments, correspondence, and meeting preparation with foresight and efficiency

  • Draft briefings, reports, and communication materials to support organisational decision-making

  • Coordinate divisional events, meetings, and workshops, including logistics, materials and agendas

  • Lead or support divisional and cross-organisational projects and assist with process improvement initiatives

  • Liaise closely with other senior EAs, including the Executive Assistant Lead, to ensure seamless executive-level operations

  • Responsible for the people leadership of two administrative assistants within the Client Services directorate

  • Support divisional strategic planning, documentation, compliance, and reporting processes

You are a confident, highly organised professional with experience supporting senior executives in fast-paced environment, detail-oriented, highly professional and adaptable EA who thrives in a busy and complex environment where meeting commitments with quality and precision are a source of pride. You will have strong communication and relationship-building skills and the ability to handle confidential matters with diplomacy.
