Executive Assistant (Insurance & Finance)

We are seeking a reliable and detail-oriented Executive Assistant to support executive leadership in a fast-paced insurance and financial services environment. This role is ideal for someone experienced in handling sensitive financial data, managing insurance documentation, and streamlining administrative workflows.

The ideal candidate is highly organized, trustworthy, and proactive, with a strong understanding of both administrative best practices and industry-specific processes in insurance and finance.

Key Responsibilities

Insurance Support

  • Track and manage commercial, liability, health, and other insurance policies
  • Handle renewals, claims submissions, and policy documentation
  • Liaise with brokers, insurers, and service providers
  • Maintain organized records with renewal and expiration alerts

Finance Support

  • Assist with budgeting, forecasting, and expense tracking
  • Reconcile invoices, bank statements, and financial transactions
  • Prepare monthly and quarterly financial summaries
  • Support bookkeeping tasks and coordinate with accounting partners

Executive Assistance

  • Manage calendars, appointments, and email communications for the CEO and CFO
  • Prepare meeting agendas, take minutes, and track follow-ups
  • Conduct research related to financial and insurance trends or vendor evaluations
  • Maintain confidentiality of all sensitive company and financial information

Administrative & Operational Support

  • Create and manage digital filing systems for finance and insurance documents
  • Draft and format professional emails, memos, and presentations
  • Track key deadlines, renewals, and compliance requirements
  • Perform ad hoc administrative tasks as needed

Required Skills & Qualifications

  • Must have at least 2 years of proven experience as a virtual assistant, executive assistant, or administrative professional
  • Must have at least 2 years of proven background in insurance and/or finance industry
  • Strong knowledge of business insurance types and financial workflows
  • Proficient in MS Office, Google Workspace, and accounting tools (e.g., QuickBooks, Xero)
  • Excellent written and verbal communication skills
  • Highly organized with strong attention to detail and problem-solving abilities
  • Ability to work independently and handle confidential information with discretion

Preferred Qualifications

  • Experience supporting C-level executives
  • Familiarity with regulatory compliance (e.g., GAAP, HIPAA)
  • Experience using CRM platforms like Brydge or ERP systems
  • Background in financial analysis or risk management
  • Must have suitable office space for work-from-home
  • Must have your own Laptop/ PC, Headset with noise-canceling feature & webcam
  • High speed internet connection
  • Only candidates currently residing in the Philippines will be considered.

Note: Candidates must be available to work Pacific Standard Time hours (9 AM – 5 PM PST).

Job Type: Full-time

Pay: Php30,000.00 - Php40,000.00 per month
