Job Description & RequirementsKey Responsibilities
- Serve as the primary strategic partner to the Chairman, optimizing schedule management while overseeing all administrative and logistical functions with precision.
- Act as the key representative and gatekeeper for the Chairman’s office, managing relationships with board members, investors, senior executives, and external stakeholders.
- Prepare, review, and refine executive-level communications, presentations, and briefing materials for high-stakes meetings and decision-making.
- Orchestrate board meetings, executive offsites, and corporate functions, ensuring flawless planning, execution, and follow-through.
- Operate with a high degree of foresight, anticipating needs, mitigating risks, and proactively resolving issues to maintain seamless operations.
- Provide holistic support across professional and personal domains, enabling the Chairman to remain focused on strategic priorities.
- Own and drive talent sourcing initiatives, including identifying hiring needs, sourcing candidates directly, conducting initial interviews, and coordinating recruitment processes across multiple roles and functions.
- Onboard and manage external recruiters and recruitment partners, setting clear briefs, timelines, and expectations to ensure quality hiring outcomes.
- Support end-to-end candidate onboarding, ensuring smooth integration and alignment with organizational standards and culture.
- Independently manage special projects and confidential assignments with absolute discretion, integrity, and sound judgment.
Requirements
- Diploma or Degree in Business Administration, Human Resources, or a related field.
- Minimum 5 years’ experience in executive support, office management, HR administration, or senior executive secretary roles.
- Hands-on experience in recruitment, including candidate sourcing, interviewing, and coordinating with external recruiters or hiring partners.
- Strong knowledge of Singapore employment laws, HR practices, and payroll processes.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with HRIS / ATS systems.
- Exceptional organizational, multitasking, and prioritization skills, with strong attention to detail.
- Excellent written and verbal communication skills in English.
- High level of professionalism, discretion, and confidentiality.
- Proactive, resourceful, and highly independent, with the ability to operate confidently in a fast-paced, high-expectation environment.
Job Type: Full-time
Pay: $4,500.00 - $6,500.00 per month
