We’re looking for a proactive, detail-driven partner to work alongside our Managing Director in a fast-paced food business. In this dynamic role, you’ll not only keep the MD’s schedule and travel plans in perfect order but also bring creative solutions, using your food industry know‑how to streamline communications, support strategic projects, and help drive growth.
Key Responsibilities
-Calendar & Travel Coordination:
- Manage a busy calendar—scheduling meetings, appointments, and domestic/international travel.
- Tackle last-minute changes with creative problem-solving.
-Communication & Meetings:
- Screen emails and calls, draft routine responses, and flag urgent matters.
- Prepare meeting agendas, presentations, and briefing notes; capture key action items.
-Project & Event Support:
- Assist on special projects by gathering research and compiling data.
- Handle logistics for events, industry conferences, and trade shows.
-Operations & Administration:
- Maintain confidential files, streamline document systems, and oversee office supplies.
- Act as the main liaison for internal teams and external partners.
Sales Administration:
- Act as a liaison between the Managing Director and the sales team, helping translate strategy into execution.
- Support sales planning by consolidating reports, tracking targets, and flagging deviations.
- Assist with CRM data accuracy, sales process compliance, and coordinating inputs for sales reviews.
- Ensure the sales team is aligned on key priorities, deadlines, and follow-ups.
Key Requirements
- 3–5 years’ experience supporting C-level executives or in a similar EA role.
- At least 2 years’ experience within the food business, with real-world knowledge of food industry dynamics.
- Proficiency in Microsoft Office and familiarity with CRM/ERP systems and virtual meeting platforms (e.g., Zoom, Teams).
- Top-notch communication, organization, and interpersonal skills with a proactive, detail-focused approach.
- A strong sense of discretion and professionalism in managing sensitive information.
