About the Role

We’re looking for a high-performing Executive Virtual Assistant to work closely with our leadership team. This isn’t a simple “checklist” role — you’ll be managing and optimizing critical business processes, streamlining communication, and supporting both operational and marketing initiatives. You’ll be the right hand to our owners, Kyle and Jenna, helping them focus on growth while you keep the business running smoothly behind the scenes.

Key Responsibilities

Executive & Administrative Support

  • Manage and organize email and calendar for Kyle and Jenna.
  • Summarize monthly staff meetings and employee evaluations; create and track follow-up action lists.
  • Review timesheets and prep for biweekly payroll.

Operations & Process Management

  • Contact customers via Shopmonkey to collect legal land descriptions for their profiles.
  • Enter and maintain inventory in QBO synced with Shopmonkey (review monthly or bi-monthly based on steel price changes from Brunswick Steel).
  • Organize and send reminders for repeat business to existing customers
  • Update and align company policies with COR certification requirements.
  • Research and support the COR certification process with Jenna.
  • Create quality assurance checklists (opening/closing, inventory, cleaning, etc.).

Finance & Reporting

  • Review monthly AR reports; add interest to overdue invoices and send to customers.

Marketing & Lead Tracking

  • Create a monthly digital marketing plan using Shopmonkey photos (social posts, work highlights, videos).
  • Track leads and conversions in GoHighLevel; analyze which marketing channels perform best.

Collaboration

  • Weekly task planning meetings with Kyle and Jenna.
  • Work cross-functionally to continuously improve processes and workflows.

Qualifications & Skills

  • Proven experience as an Executive VA or in a high-level administrative role.
  • Proficient in GoHighLevel for lead tracking and marketing performance analysis.
  • Skilled in Microsoft Suite (Excel, Outlook, Planner), QBO, and Shopmonkey.
  • Comfortable with Canva for marketing content and basic video editing tools (CapCut, InShot, or Canva Video).
  • Strong organizational and time-management skills — proactive and detail-oriented.
  • Excellent written and verbal communication skills.
  • Process-oriented with the ability to create and maintain SOPs.

Pay: Php37,000.00 - Php40,000.00 per month
