Experienced Dental Practice Front Of House Coordinator

Alexandra Dental are a seeking a Business minded Front of house Coordinator for our established clinic in Drogheda. We are looking for a highly experienced receptionist / administrator with a customer service / focused background to lead our clinic into the next stage of its growth.

Key Responsibilities Patient Experience

  • Greet patients warmly in person and over the phone
  • Manage patient check-in and check-out processes
  • Handle patient enquiries, concerns, and complaints in a calm and professional manner
  • Maintain patient confidentiality at all times

Appointments & Scheduling

  • Book and reschedule appointments efficiently
  • Manage the dentists’ schedules to optimise chair time
  • Send appointment reminders and follow up on missed appointments

Administration & Records

  • Maintain accurate and up-to-date patient records
  • Process new patient registrations and consent forms
  • Handle correspondence (emails, letters, referrals)
  • Manage filing, scanning, and general office administration

Billing & Payments

  • Process payments (cash, card, HSE claims if applicable)
  • Provide basic information on treatment costs and payment options
  • Prepare invoices and receipts
  • Liaise with Finance department

Clinic Support

  • Ensure the clinic is tidy, welcoming, and well-stocked
  • Coordinate with clinical staff to ensure smooth patient flow
  • Support practice management with ad-hoc administrative tasks

Required Skills & Experience Essential

  • Previous experience in a receptionist or customer service role
  • Excellent communication and interpersonal skills
  • Strong organisational and multitasking abilities
  • High level of professionalism and discretion
  • Confident IT skills (practice management software, email, basic office tools)

Desirable

  • Previous experience in a dental or healthcare setting
  • Familiarity with dental terminology and procedures
  • Experience handling HSE claims

Working Hours

Full-time
Monday to Friday 8.30am - 6pm

Job Types: Full-time, Permanent

Pay: From €18.00 per hour

Experience:

  • Customer facing role: 2 years (required)
  • Management: 2 years (required)
  • Dental practice management: 1 year (required)

Work Location: In person
