Facilities Coordinator - Westfield Doncaster - 6 Month Contract

Job no: 498722
Work type: Fixed Term Full Time
Location: Melbourne
Categories: Facilities Management

Your opportunity

We have a great opportunity for a Facilities Coordinator to join the team at Westfield Doncaster on a 6-month fixed-term contract.

Reporting to the Facilities Manager, you’ll support the day-to-day operations of the centre, with a strong focus on coordinating contractors, managing work orders, and maintaining high standards across all facilities. You’ll play a key role in ensuring a safe, functional, and well-presented environment for retailers, while contributing to a positive experience for our customers.

This role is highly operational and suited to someone who enjoys being hands-on, organised, and working closely with a range of stakeholders to get things done.

Day-to-day you will be responsible for:

  • Responding to reactive maintenance issues and completing onsite investigations.
  • Supporting high-quality hard and soft service delivery across the centre.
  • Managing the CMMS (Computerised Maintenance Management System) to prioritise, track and close out work orders.
  • Conducting inspections and safety checks, and supporting maintenance, repairs and capital works.
  • Communicating with retailers, contractors and internal teams to coordinate work and resolve issues.
  • Building strong relationships with service providers to ensure timely and compliant service delivery.
  • Supporting environmental, sustainability and operational initiatives through accurate reporting.
  • Assisting with emergencies or incidents and following agreed incident management processes.

This role is offered as a full-time, onsite 6-month fixed-term contract at Westfield Doncaster, with the potential for ongoing opportunities for a strong performer.

What sets you apart

You’re organised, proactive, and solutions-focused, with a practical approach to facilities coordination. You’re confident coordinating contractors, managing multiple tasks, and communicating clearly with a wide range of stakeholders in a fast-paced retail environment.

Experience in facilities, property, retail, hospitality or building operations is beneficial – we also welcome applicants from diverse backgrounds who bring strong coordination skills and are keen to build or further develop their experience in facilities management.

You will be:

  • Proactive and reliable – following through and getting things done.
  • A clear communicator – engaging professionally with contractors, retailers, and internal teams.
  • Organised and detail-focused – managing work orders, inspections, and compliance requirements effectively.
  • Resilient and adaptable – able to manage pressure during peak periods and shifting priorities.
  • Collaborative and accountable – working closely with cross-functional teams to keep the centre operating smoothly.
  • Flexibility to work the occasional weekend day, forming part of a rotating Duty Management roster (with time in lieu).
