Job Overview
Accountability
The Administrator is an employee of the Board of Management of Northstar Family Support Project.
The Administrator reports to the coordinator daily. Final responsibility rests with the Board of Management.
Hours of Work
· Part-time, 20 hour per week Monday to Friday where the worker is available between 09:00 and 17:00.
· The Administrator will be expected to be flexible about morning, evening and weekend work for which overtime will not be paid but time-off-in-lieu will be granted.
· The contract is permanent and will be subject to continued funding.
· A 6-month probation period will apply.
Salary
The salary scale is dependent upon level of qualifications and length of work experience in a related field. The salary will be no less than € 34,133 pro rata.
Confidentiality
The Administrator will always be expected to observe confidentiality in relation to the business of the Project.
Holidays
Thirty days per annum pro rata plus public holidays.
Garda Vetting
The position is subject to the completion of a satisfactory Garda Vetting process.

Role:
The role of the administrator is to ensure the smooth running of all aspects of the Northstar Family Support Project office by managing the finances of the project and providing general administrative support to support groups, the staff team and management committee. The administrator will also act as the first point of contact with the project and will foster a warm and welcoming atmosphere.
Key Areas of Work:
Accounts:
· Keep accurate accounts of income and expenditure.
· Deal with banking matters including bank reconciliations
· Payment of bills and invoices
· Prepare financial returns for the HSE and other funding agencies.
· Prepare regular financial reports, including budgets for the co-ordinator and management committee
· Preparing salaries, pay slips and returns to Revenue Commissioners
· Liaise with staff on paying bills, quarterly returns and annual audit
· Maintain a financial system within the guidelines.
Secretarial:
· Responding to information queries from public and other agencies
· Providing a friendly welcome to individuals and groups availing of services
· Deal with all communication and correspondence.
· Ensure that a database is developed and updated inc. mailing lists
· Take minutes at meetings
· Report typing including letters and minutes of meetings
· Send relevant correspondence to management committee re meetings and agendas
· Filing of all documentation and maintenance of filing system
Administration:
· Ordering and storing of all equipment and stock
· Organise maintenance of office equipment and dealing with service contracts
· Provide support to the staff team including typing, photocopying, sending out letters, room bookings and preparation and tidying of meeting rooms
· Assist in the organisation of training events, launches, workshops etc.
· Maintain office diary, time sheets, room bookings etc.

Knowledge/
Qualifications
- ECDL. - Working Knowledge of Microsoft Office, Excell, Powerpoint, Publisher - Diploma in Administration and Office Skills or equivalent
