Fleet Administrator / Dot Compliance Specialist

Title: Fleet Administrator / DOT Compliance Specialist
Location: Remote
Shift: 8am to 5pm US Timezone

Job Overview:

As a Fleet Administrator / DOT Compliance Specialist, you will be responsible for overseeing fleet operations, ensuring compliance with Department of Transportation (DOT) regulations, and maintaining accurate documentation. This role requires strong attention to detail, organizational skills, and the ability to collaborate across departments to ensure the fleet’s operational efficiency and regulatory adherence.

Responsibilities:

  • Support fleet operations by managing asset acquisition, transfer, maintenance, and disposal.
  • Monitor fleet utilization and respond to asset needs in a timely manner.
  • Administer and track fuel card usage, escalating anomalies when necessary.
  • Ensure all vehicles comply with DOT safety regulations, preventive maintenance schedules, and inspections.
  • Maintain up-to-date driver qualification files, including license renewals, medical certifications, and compliance with DOT safety standards.
  • Prepare and submit DOT-required documentation, such as Hours of Service (HOS) logs, fuel tax reports, and compliance audits.
  • Coordinate vehicle repairs and inspections with vendors, dealerships, and repair shops.
  • Conduct training for drivers and staff on vehicle inspections, telematics, and compliance procedures.
  • Assist in preparing for DOT audits and inspections, ensuring accurate records and documentation.
  • Investigate and report transportation-related incidents in compliance with DOT reporting requirements.
  • Stay informed about regulatory updates and implement necessary policy changes.
  • Coordinate telematics installations and updates with management teams.

Qualifications:

  • 3+ years of experience in fleet administration, DOT compliance, transportation management, or a similar role.
  • Strong knowledge of federal and state DOT regulations, including vehicle safety, driver compliance, and hours of service.
  • Proficient with Microsoft Office, particularly Excel (formulas, formatting, and reports).
  • Excellent data entry, record-keeping, and logistics management skills.
  • Strong analytical and problem-solving abilities with high attention to detail.
  • Bachelor’s degree in transportation, logistics, business administration, or related field (preferred).
  • Ability to work independently, maintain confidentiality, and demonstrate integrity in handling compliance matters.
  • Current DOT Medical Certification (or ability to obtain).

Job Types: Full-time, Permanent

Pay: Php35,000.00 - Php43,000.00 per month
