Freelancer - HR Administrator
Scope of use: 100 %
Working hours: Monday–Friday, 8:00 a.m. – 5:00 p.m.
Cooperation: Full-Time, collaboration on a Freelancer basis

As HR Administrator, you are responsible for managing and organizing all administrative HR processes within the company. You ensure that personnel administration is structured, compliant with legal regulations, and efficiently managed.
You will support the management team in all HR-related matters and serve as the main contact point for employees regarding administrative HR topics. You will also coordinate with accounting, management, and external institutions such as social insurance agencies and authorities.
Key Responsibilities
1. Personnel Administration
- Prepare and manage employment contracts, contract amendments, and additional agreements
- Maintain and update digital employee personnel files
- Manage employee onboarding and offboarding processes
- Prepare employment confirmations, certificates, and official HR documents
- Maintain and update employee master data
2. Time Tracking & Absence Management
- Monitor and manage working hours, overtime, and vacation balances
- Record and track sick leave, absences, and vacation requests
- Ensure compliance with working time regulations
- Prepare and provide time data for payroll processing
3. Onboarding & Offboarding
- Organize and prepare the onboarding process for new employees
- Ensure all necessary documents and information are completed
- Coordinate with departments such as IT, procurement, and fleet management
- Manage the offboarding process, including documentation and final paperwork
4. Communication with Authorities & Social Insurance
- Register employees with social insurance providers and relevant authorities
- Prepare and submit required HR documentation
- Support administrative processes related to work permits or official requirements
- Assist during audits or administrative reviews if required
5. HR Organization & Management Support
- Support management with HR administration and workforce planning
- Prepare HR reports and employee statistics
- Maintain organized HR documentation and processes
- Ensure compliance with labor laws and internal HR policies
Your Profile
- Experience in HR administration, personnel management, or business administration
- Strong organizational and administrative skills
- High level of confidentiality and professionalism when handling employee data
- Good knowledge of Microsoft Office (Excel, Word, Outlook) or similar tools
- Reliable, structured, and detail-oriented working style
Objective of the Role
To ensure efficient, structured, and compliant HR administration, supporting smooth personnel processes and providing management with a clear overview of workforce-related matters
Proposed salary structure:
- Month 1–6: €650 per month
- Month 7–12: €800 per month
- From month 13 onward: €1,000 per month, if performance and work quality meet expectations.
This structure allows us to evaluate the performance and development of the employees during the first year while offering a transparent salary progression.
