Front Desk Coordinator / Office Manager-In-Training

About the Role

We are looking for a highly organized, personable, and reliable front desk team member who can grow into an office manager role over time. This is a great fit for someone who enjoys helping patients, keeping a busy office running smoothly, solving problems, and learning the business side of a dental practice.

The right person does not need to already be a dental office manager. We care more about attitude, judgment, communication, follow-through, and the ability to learn quickly. Dental experience is helpful, but we are also open to candidates with strong customer service, scheduling, administrative, hospitality, medical office, or operations experience.

What You’ll Do

You will help run the front desk and gradually take on more responsibility as you learn the practice.

Responsibilities include:

  • Greeting patients warmly and helping them feel taken care of
  • Answering phones, texts, and emails professionally
  • Scheduling appointments and helping keep the doctor and hygiene schedules full
  • Confirming appointments and managing patient communication
  • Checking patients in and out
  • Collecting payments and discussing balances with patients
  • Helping verify insurance benefits and track claims
  • Presenting treatment plans and helping patients understand next steps
  • Following up on unscheduled treatment
  • Supporting daily office flow and communication between front desk and clinical team
  • Learning practice systems, reports, collections, scheduling strategy, and basic team leadership
  • Taking ownership of small projects as your role grows

Helpful Experience

Any of the following is a plus, but not required:

  • Dental front desk experience
  • Medical office experience
  • Scheduling or reception experience
  • Insurance verification or billing exposure
  • Customer service or hospitality experience
  • Experience with Dentrix, Eaglesoft, Open Dental, Dentrix Ascend, or similar software
  • Experience in a small business where everyone wears multiple hats

This role is designed to grow. As you demonstrate mastery of the front desk, you may take on additional responsibilities such as:

  • Schedule management
  • Recall and reactivation systems
  • Collections and accounts receivable follow-up
  • Insurance claim tracking

Pay: $22.00 - $38.00 per hour
