Job Title: Front Desk / Office Administrator (Full-Time)

Location: Vitalize Wellness - Cary NC

Position: Full-Time, Mondays (from home), Tuesday through Friday (30-35 hours/week)

Compensation: Hourly + Commission

Position Overview:

We are seeking a dynamic Front Desk / Office Administrator to be the face of our clinic and provide an outstanding experience for every client who walks through our doors, every client who calls or reach out to our office. This role combines administrative duties with a strong focus on customer service, sales, and helping clients achieve their wellness goals.

Key Responsibilities:

- Client Relations & Patient Experience: Provide a warm, welcoming, and professional first impression for patients. Ensure each client receives a positive, personalized experience throughout their visit.

- Sales: Actively promote and sell our services and products to meet and exceed sales goals, without being selesy.

- Scheduling & Coordination: Manage appointment bookings, reschedules, and cancellations. Assist with managing client flow and ensuring smooth operations throughout the day.

- Administrative Support: Utilize our Electronic Health Record (EHR) system to maintain patient records, update client information, and ensure compliance with clinic protocols, uploap labs to clients profile.

- Team Collaboration: Work closely with our medical and spa team to ensure seamless operations and deliver a superior patient experience. Assist with inventory management and daily clinic operations as needed.

- Customer Service Excellence: Address client inquiries, handle concerns, and resolve issues promptly to maintain high levels of customer satisfaction.

Qualifications:

- At least 2 years of experience in a public-facing role, ideally in a MedSpa, wellness clinic, or similar environment.

- At least 2 years of sales experience, with a proven track record of meeting and exceeding sales targets.

- Strong computer skills, including experience with EHR systems (electronic health records). Experience with spa or medical practice software is a plus.

- Excellent communication and interpersonal skills; ability to build rapport with clients and colleagues alike.

- Ability to multitask and stay organized in a busy clinic environment.

- Positive attitude, professional demeanor, and a passion for helping others.

- Team-oriented with a proactive, solution-oriented mindset.

- Must be available to work Tuesday through Friday, the 2nd Saturday of every month and Mondays from home
