About the Role

This is a pivotal role for someone who loves building meaningful relationships with patients, providing exceptional service from first inquiry to post-procedure care, and helping patients feel confident in their decision to move forward with treatments and surgeries.

You’ll be the face and voice of the practice, ensuring every interaction, whether in person, over the phone, or online, reflects the warmth, professionalism, and excellence our clinic is known for.

This role goes beyond front desk duties, it’s about creating an outstanding patient experience, building strong relationships, and actively promoting our cosmetic services and skincare products. Key Responsibilities

Patient Experience & Front Desk Coordination

  • Serve as the first point of contact—greeting patients warmly in person and on the phone and ensuring every interaction feels personal and welcoming.
  • Coordinate the entire patient journey: scheduling consultations, managing confirmations, and following up after visits to ensure a seamless experience.
  • Communicate effectively with the surgeon and clinical staff to support patient care and optimize daily office flow.
  • Provide a concierge-level experience that reflects the standards of a high-end aesthetic practice.

Sales & Patient Liasion

  • Engage with new and existing patients to discuss procedures, treatments, and skincare products tailored to their goals.
  • Confidently guide patients through consultations, treatment recommendations, and pricing discussions.
  • Follow up with prospective and post-consultation patients to help guide them toward the most appropriate treatments or surgical procedures for their goals.
  • Support the practice’s growth by achieving patient engagement and booking objectives through consistent communication and service excellence.
  • Stay up to date on promotions, treatment offerings, and skincare lines to maximize growth opportunities.

Administrative & Operational Support

  • Manage patient records accurately in EMR/CRM systems while maintaining confidentiality and HIPAA compliance.
  • Process payments, deposits, and end-of-day reconciliation.
  • Verify insurance coverage and obtain authorizations for procedures when applicable.
  • Assist with inventory management for skincare and office supplies.
  • Support marketing and brand-building efforts, including social media engagement, patient events, and reputation management.

Clinical & Team Support (as needed)

  • Provide post-treatment instructions per physician’s orders.
  • Assist with treatments or procedures when needed to ensure efficient clinic flow.
  • Maintain clean and organized treatment and front desk areas.

What We’re Looking For

  • 2+ years of experience in aesthetics, medical, or luxury customer service environments.
  • Proven sales experience—ideally within cosmetic, skincare, or medspa settings.
  • Exceptional communication and relationship-building skills, both verbal and written.
  • Highly organized and detail-oriented with the ability to multitask in a fast-paced setting.
  • Tech-savvy with EMR/CRM systems (experience with EMR such as DrChrono preferred).
  • A positive, polished, and professional presence with a proactive team spirit.
  • Passion for aesthetics, skincare, and creating meaningful patient experiences.
  • Availability Monday–Friday, with flexibility for occasional weekend and events.

Preferred Skills

  • Multilingual abilities (Spanish, Tagalog, Mandarin, or Vietnamese).
  • Familiarity with insurance billing, coding, or accounting software.
  • Background in marketing, social media, or event coordination is a plus.

Job Types: Full-time, Part-time

Pay: $21.00 - $26.00 per hour
