Job Title: Front Desk Receptionist

Department: Human Resources
Reports To: HR Supervisor / HR Manager / HR Director

Job Summary

The Front Desk Receptionist is responsible for managing the front office, handling the company’s main phone line, administering employee company phones and phone billing, and coordinating the schedule of company vehicles. This role ensures proper communication flow, accurate phone usage monitoring, organized vehicle scheduling, and timely coordination with service providers and internal departments.

Key ResponsibilitiesFront Desk & Communication

  • Serve as the first point of contact for visitors and callers
  • Answer, screen, and route incoming calls to employees and departments
  • Take and relay accurate messages to concerned employees
  • Maintain a professional and organized reception area

Company Phone Management

  • Manage and monitor company-issued mobile phones and SIM cards
  • Maintain an updated inventory of company phone devices and assignments
  • Coordinate issuance and return of company phones for employees
  • Assist employees with basic phone-related concerns and requests

Phone Billing & Administration

  • Receive, review, and monitor monthly phone bills from service providers
  • Encode and track phone usage per employee or department
  • Coordinate with Finance for billing verification and payment processing
  • Prepare summaries or reports related to phone expenses
  • Flag unusual or excessive usage for review

Company Car Scheduling & Coordination

  • Manage and monitor the daily and weekly schedule of company vehicles
  • Coordinate company car requests with employees and departments
  • Maintain an updated log of vehicle usage, drivers, and trip schedules
  • Ensure proper documentation for company car utilization
  • Coordinate with Admin or Fleet personnel regarding vehicle availability and concerns

Administrative Support

  • Maintain accurate records and files related to phone billing, phone assignments, and company car schedules
  • Assist Admin, HR, and Finance teams with clerical tasks as needed
  • Ensure confidentiality of employee and company information

Qualifications

  • Graduate of any business-related course preferred
  • At least 6 months to 1 year of experience as a receptionist, admin staff, or billing assistant
  • Basic knowledge of billing, invoicing, expense monitoring, or fleet coordination is an advantage
  • Good verbal and written communication skills
  • Proficient in MS Office applications (Excel, Word, Outlook)

  • Trustworthy and discreet in handling sensitive information

Office Location: 470 Solana St., Intramuros Manila

Job Type: Full-time

Pay: Php18,500.00 - Php19,000.00 per month
