Job Description
Wingate Yuma is looking for a candidate who acquires excellent customer service skills with fluent English and moderate Spanish language skills, well groomed, and has a great sense of humor. Job requires handling telephone calls, PBX operation, handling reservation, checking in and checking out guest. Applicant should also have basic understanding of handling cash and credit card transactions. Applicant should be a team player and willing to learn new things. Should be very responsible, should take initiatives and have strong leadership qualities. Applicant should be able to work any given shift as needed by the hotel for effective operations.
POSITION TITLE: GUEST SERVICE ASSOCIATE/ ASSISTANT/ NIGHT AUDITORREPORTS TO: Front office manager
POSITION SUMMARY: Review guest's reservation status and identifies how long the guest will stay. Helps guest complete registration cards and then assigns rooms, accommodating special requests whenever possible. Verifies the guest's method of payment and follows established credit-checking procedures. Places guest and room information in the appropriate front desk racks and communicates this information to the appropriate hotel personnel. Works closely with the housekeeping department in the keeping room status reports up to date and coordinates requests for maintenance and repair work. Maintains guest room key storage, and maintains and supervises access to safe deposit boxes. Front Desk Agent must be able to sell hotel rooms. Presents options and alternatives to guests and offers assistance in making choices. Front Desk Agent should know the location and types of available rooms as well as the activities and services provided by the hotel. Performs cashiering tasks like bill / invoice settlement, posting charges to the guest, paid out’s, Foreign currency exchange etc.
DUTIES AND RESPONSIBILITIES:

  • Register guests and assigns rooms. Accommodates special requests whenever possible.
  • Assists in preregistration and blocking of rooms for reservations.
  • Thoroughly understand and adheres to proper credit card payment, credit card authorizations, direct billing, cash deposit and cash handling policies and procedures.
  • Understands room status and room status tracking.
  • Knows room locations, types of rooms available, and room rates.
  • Uses suggestive selling techniques to sell rooms and to promote other services of the hotel.
  • Coordinates room status updates with the housekeeping department by notification housekeeping of all check outs, late checkouts, early check-ins, special requests, and day use rooms.
  • Possesses a working knowledge of the reservations department. Takes same day reservations and future reservations when necessary. Knows cancellation procedures.
  • Following proper verification process while issuing guest keys and handling master keys.
  • Knows how to use front office equipment. (Key Encoders, Fax machine, Computers, printers, safes etc.
  • Have basic understanding of MS Office. Should be able to respond guest questions, concerns and requests via email in timely manner.
  • Employee should be in approved uniform / dress code while at work. Excessive make ups and over sized jewelry is not permitted at work. Hairs should be well combed and neatly tied.
  • Process guest check-outs by verifying proper billing. (Travel agents, individuals, groups, direct bills, loyalty program billing etc.)
  • Performing cashier related functions like posting charges to guest room, Sundry Shop Charges, Incidental Charges including, early departure, advance billing, late check out, early check inn, loss or damage items in rooms etc.
  • Follows procedures for issuing and closing safe deposit boxes used by guests.
  • Uses proper telephone etiquette.
  • Uses proper mail, package, and message handling procedures. Courier Mail Register
  • Reads and initials the Front Desk log and bulletin board daily. Is aware of daily activities and meetings taking place in the hotel.
  • Attends department meetings.
  • Reports any unusual occurrences or requests to the manager or assistant manager.
  • Knows all safety and emergency procedures, is aware of accident prevention policies.
  • Maintains the cleanliness and neatness of the front desk area and lobby at all times.
  • Understand that business demands sometimes make it necessary to move employees from their accustomed shift to other shifts.
  • PREREQUISITES: Education: High school graduate or equivalent. Must fluently speak, read, Write and understand English, Spanish as a secondary language would be a plus. Experience: Previous hotel-related experience desired for minimum of 1 year. Physical& Mental Requirements: Requires grasping, listening, writing, typing, long hours standing, and May on occasion have to lift and carry up to 40 pound.
