Inventory Administrative Assistant And Accounting Specialist

Summary:

This full-time position is responsible for a wide variety of inventory and data tracking and entry-level accounting transactions. This employee utilizes problem-solving skills to identify errors, makes corrections while completing duties on a timely and accurate basis. This position requires a person who is extremely detail oriented, communicates well, comfortable with technology and not afraid of routine data entry tasks. Application of Net Suite, QuickBooks, and Microsoft Office (Word/Excel/Outlook) required on a daily basis.


Essential functions:

  • Record Employee TRS BOA Credit Card transactions into Net Suite
  • Record A/P Bills in NetSuite as needed by Accountant
  • Record Recurring Monthly Payments in NetSuite required by Accountant for Monthly Bank Recons
  • Record Domestic Inventory/Food Inventory invoices in NetSuite ? to include payments made by credit card.
  • Perform Administrative tasks and Maintenance for Retail Merchant Accounts in NetSuite
  • Run and update weekly inventory management report(s)
  • Maintain Vendor List in Net Suite.
  • Maintain Net Suite Electronic File Cabinet System.
  • Order store and corporate office supplies; Track order with the stores to ensure delivery; Enter in supply invoices and receipts into NetSuite; Adjust supply inventory quarterly
  • BOPIS item report monitoring ? block/unblock
  • Facilitates retail store cycle counts
  • Execute price change imports into NetSuite
  • Resolve negative quantity reports for retail stores weekly
  • Enter in inventory adjustments, transfers and transfer orders as needed
  • Record #54 sales in Antiques binders and evaluate the 01-NN report for errors each month
  • Create new inventory items in NetSuite as needed for Domestics, Bistro/Retail Food, Supplies & Fixtures. Provide backup item creation for international vendor items
  • Assists Inventory Planning and Allocations Manager and other corporate staff with special projects as needed
  • Traveling to stores for inventory projects as needed General office administrative tasks such as filing, copying/printing, responding to emails, etc.
