Job Purpose:
To support the ActiLife therapists in clinic operations and in delivering patient care. All work should be delivered to the standards and following the procedures established in ActiLife or as otherwise requested by the therapists.
Duties:
- Greet and check-in patients, ensuring a positive and welcoming experience
- Schedule appointments and manage the office calendar
- Coordinates patient care through the Clinic –checking in, prepping, escorting to exam rooms, and preparing exam or treatment rooms for the next patient.
- Answers enquiries by phone and in person in a helpful, respectful, professional and efficient manner.
- Maintain patient records and update electronic medical records (EMR)
- Assist with insurance verification and billing processes
- Operates fax machines.
- Perform administrative tasks such as filing, faxing, and scanning documents
- Maintains appointment schedule and manages recalls.
- Maintains electronic medical record, including the patient chart.
- Coordinate referrals to specialists and follow-up on patient care
- Ensures exam rooms are stocked appropriately and ensures that they are ready for next patient.
- Ensures patient confidentiality.
- Cleans and sterilizes materials and instruments.
- Performs patient prep procedures and documents findings on the patient record.
- Performs billing procedures for multiple payers (MSP, ICBC, WCB, etc.) and applies and collects non-insured fees where applicable.
- Orders and receives kitchen, office and medical supplies.
- Maintain cleanliness and organization of the front desk area
- Performs all other related clinical, administrative tasks or special tasks as required.
General Skills and Abilities:
- Knowledge of medical terminology and familiarity with electronic medical
- records (EMR) systems
- Proficiency in using office software such as Microsoft Office Suite, including using the internet and the electronic medical record (EMR).
- Excellent communication skills, both verbal and written
- Strong organizational skills with attention to detail
- Ability to multitask and prioritize tasks effectively in a fast-paced environment
- Previous experience working in a medical office or similar administrative role is
- preferred
- Familiarity with Physiotherapy office procedure and Jane software is a plus
- Works well in a team environment.
- Speed and accuracy.
- Can solve problems and able to apply good judgment.

Pay: $16.75-$18.00 per hour
Expected hours: 16 – 20 per week
