We are a warm, family-centered speech-language pathology clinic dedicated to supporting clients of all ages. We are looking for a friendly, outgoing, and highly organized Clinic Administrator to join our team. About the Role
The Clinic Administrator plays an essential role in keeping our clinic running smoothly. You will support therapists, clients, and families while managing the daily administrative operations of the clinic.
Experience with the Jane practice management software is an asset.
Familiarity with CANVA and ChatGPT / AI technology is considered an advantage.
The ability to speak Cantonese and/or Mandarin is an asset.
Key Responsibilities
- Greeting clients and performing reception duties
- Client intake over telephone and email
- Supporting marketing tasks, including social media content and material preparation
- Monitoring and managing emails
- Assisting with file preparation and documentation
- Managing office supplies and inventory
- Coordinating payments for recurring expenses, subscriptions, and registrations
- Assisting with onboarding of new employees, subcontractors, and volunteers
- Assisting with preparation of invoices and client billing
- Coordinating materials and office space bookings for therapists
- Liaising with clients regarding appointment times and required documentations.
- Communicating with fee payers, team members, volunteers, and clients
- General light office cleaning and maintenance
- Providing technical troubleshooting as needed
- Editing and preparing reports and letters
- Assisting with coordination of professional or social events as required
Qualifications
- Friendly, outgoing, and professional demeanor
- Strong communication and interpersonal skills
- Comfort with technology, including social media and digital tools
- Experience with Jane (asset, but not required)
- Familiarity with CANVA and ChatGPT (asset)
- Strong organizational and multitasking abilities
- Ability to work independently and collaboratively
- Previous administrative or medical office experience required
