Summary

The Practice Administrator is responsible for overseeing the day-to-day operations of a multi-specialty medical office. This role ensures seamless coordination between staff, providers, and patients while maintaining operational efficiency, regulatory compliance, and exceptional patient care. The ideal candidate will have at least five years of experience in a medical office and two years in management, with strong organizational and leadership skills. Experience in HR, hiring, and staff development is a plus.

Responsibilities

Operations Management

  • Oversee daily operations of the medical practice, ensuring smooth workflows and optimal patient experience.
  • Implement and maintain policies, procedures, and best practices for efficiency and compliance.
  • Coordinate provider schedules, coverage, and office logistics.
  • Manage supply inventory and vendor relationships.

Financial & Administrative Oversight

  • Support billing, collections, and financial reporting in collaboration with the billing department.
  • Monitor key performance indicators such as patient volume, productivity, and collections.

Staff Leadership & HR Functions

  • Supervise, train, and evaluate staff to promote teamwork and accountability.
  • Participate in the hiring process, onboarding, and ongoing performance management.
  • Assist with scheduling, payroll approval, and conflict resolution.
  • Maintain compliance with HR policies, OSHA, and HIPAA regulations.

Compliance & Quality Assurance

  • Ensure the practice meets all state, federal, and payer compliance standards.
  • Manage staff training and continuing education.
  • Participate in internal audits and quality improvement initiatives.

Patient & Provider Relations

  • Foster strong relationships with patients, providers, and vendors.
  • Resolve escalated patient issues professionally and efficiently.
  • Cultivate a culture of compassion, professionalism, and continuous improvement.

Qualifications

  • Minimum 5 years of experience working in a medical office or healthcare environment.
  • Minimum 2 years of supervisory or management experience (multi-provider or multi-specialty preferred).
  • Strong understanding of medical office operations, including scheduling, billing, and compliance.
  • Excellent leadership, communication, and problem-solving skills.
  • HR and hiring experience preferred.
  • Proficiency in EHR/EMR systems (experience with eClinicalWorks a plus).
  • Bachelor’s degree in Healthcare Administration, Business, or related field preferred.
