About our Business
We are a family-run farm operation that delivers high quality, farm fresh food to our customers. We have a farm market that is open year-round that sells fresh produce straight from our fields, as well as quality cheeses, meat and other gourmet foods. We also operate a busy agritourism destination experience, where guests come and visit the farm animals, enjoy the playland, and pick fruits and vegetables through our Pick-Your-Own experiences. We put on a number of events throughout the year, Harvest Festival being our most notable event.
About the position
We are looking for a highly detailed, organized and motivated individual to keep everything running smoothly on the back end of this busy business, and to support the owners and management team administratively and with recruitment/training tasks. The selected person would be responsible for keeping our Google drive (G-suite) organized and up to date on a daily basis, ensuring processes and procedures are upheld and creating new ones as needed to keep the business running efficiently and effectively. In regards to the administrative duties, the person would be responsible for job postings, coordinating interview and conducting staff orientations and keeping all the paperwork organized. Duties range and are listed below (not all duties are listed) but include: general upkeep of the office space, ordering supplies such as PYO baskets, office supplies, and staff apparel, and coordinating the phone system and answering the phone. In regards to the recruitment and onboarding aspect of the position, the individual would be responsible for keeping up to date: job descriptions, job performance reviews, staff manuals. As well, they would be responsible for posting job advertisements, coordinating interviews, and conducting group orientation sessions with new hires.
Schedule & Location:
Primarily Monday - Friday, with evenings & weekends as needed, especially during peak event season. Approximately 40-Hours a week, but may be required to work additional hours as needed when preparing for a major event.
Salary:
$21 - $25/hour, depending on qualifications and experience
Job Duties:
Office Administration - support the Leadership team as required
- Support various departments as needed
- Coordinate calendars, schedule & attend meetings, support internal communications
- Maintain a shared Calendar for Leadership team
- Follow up with all Sponsorship/Donation requests
- Order employee apparel/uniforms
- Ensure cleanliness and organization of staff spaces
- Update all phone messages
- Order and maintain inventory on office supplies
- Answer events phone line and general emails
- Complete all Special Occassion Permits
- Organize and plan staff functions team building events
- Distribute important information to the team
- Support the marketing team with any administrative duties as required
- Perform duties assigned by the Owners/General Manager
Human Resources - Support Recruitment & Retention activities
- Maintain complete confidentiality
- Update and maintain Pingle’s Farm Market Staff Manual
- Update all job descriptions, as well as policies & procedures
- Post Indeed job postings for seasonal and open positions throughout the farm including events, kitchen, market & special ops
- Coordinate and conduct interviews as needed
- Contact seasonal staff to return for event season (spring, summer & fall)
- Conduct orientations with new staff/hires, as well as ensure that all paperwork is complete
- Ensure Employment Agreements and associated paperwork are completed with all signatures and turned into the Accounting department.
- Ensure all direct deposit forms are filled out prior to commencing work.
- Instill Pingle’s Farm Market core values into new hires and ensure staff live up to the expectations of the company and follow processes & procedures
- Coordinate training for new hires and work with department managers
- Making updates to the employee scheduling program
- Submit bi weekly time sheet reports
- Monitor employees’ hours on a weekly basis
- Participation and coordination of the Health and Safety committee
- Ensure staff members have up to date First Aid, CPR , Safety Certificates and Smart Serve
