Office Administrator
Location: Abbotsford, BC
Salary: $23.00–$26.00/hour
Full-Time | Permanent

We are looking for a reliable Office Administrator who wants to grow their career in administration while supporting our field technicians and office operations.
What You’ll Do
As a key part of our administrative team, you will handle a variety of behind-the-scenes tasks that keep our operations running smoothly:
- Data entry and accounting support (Accounts Payable, Accounts Receivable, invoicing, bank reconciliation etc)
- Maintaining and updating reports (labor hours, vehicle tracking, invoicing)
- Assisting with contracts, quotes, and customer correspondence
- Answering phones, greeting customers, and managing office communications
- Organizing and maintaining electronic and physical filing systems
- Updating and managing customer, and employee information
- Supporting scheduling and dispatching of field staff
- Ordering and managing office supplies
- Handling incoming and outgoing mail
- Keep a track of the company's obligation. ( eg. WorkSafeBC, Technical Safety compliance)
- Organize employees hours for payroll
- General office upkeep and administrative duties as needed
What We’re Looking For
- Previous office administration experience
- Strong skills in MS Office (Word, Excel, Outlook); experience with QuickBooks is an asset
- Excellent verbal and written communication skills
- Detail-oriented, organized, and able to manage multiple priorities
- Reliable, punctual, and a team player with a positive attitude
- Comfortable working under pressure in a busy environment
- Ability to maintain confidentiality and handle sensitive information
- Strong problem-solving skills and willingness to learn
Preferred Qualifications
- Post-secondary education in Business Administration or related field (asset)
- Experience in a service-based or HVAC/refrigeration company (asset)
- Familiarity with scheduling, dispatching, or customer service roles

Requirements
- Proficiency in English is required; bilingual skills in other languages are a plus.
- 3+ years of admin experience, preferably in a small to mid-sized company.
- Strong communication skills with the ability to engage effectively with diverse customers.
- Excellent phone etiquette and interpersonal skills.
- Ability to handle multiple tasks simultaneously while maintaining accuracy.
- Familiarity with data entry systems and basic computer applications.
- A positive attitude and willingness to learn in a fast-paced environment.
- Experience working in HVAC or similar industry is preferred.
