Location: Abbotsford, BC
Salary: $23.00–$26.00/hour
Full-Time | Permanent

We are looking for a reliable Office Administrator who wants to grow their career in administration while supporting our field technicians and office operations.

What You’ll Do

As a key part of our administrative team, you will handle a variety of behind-the-scenes tasks that keep our operations running smoothly:

  • Data entry and accounting support (Accounts Payable, Accounts Receivable, invoicing, bank reconciliation etc)
  • Maintaining and updating reports (labor hours, vehicle tracking, invoicing)
  • Assisting with contracts, quotes, and customer correspondence
  • Answering phones, greeting customers, and managing office communications
  • Organizing and maintaining electronic and physical filing systems
  • Updating and managing customer, and employee information
  • Supporting scheduling and dispatching of field staff
  • Ordering and managing office supplies
  • Handling incoming and outgoing mail
  • Keep a track of the company's obligation. ( eg. WorkSafeBC, Technical Safety compliance)
  • Organize employees hours for payroll
  • General office upkeep and administrative duties as needed

What We’re Looking For

  • Previous office administration experience
  • Strong skills in MS Office (Word, Excel, Outlook); experience with QuickBooks is an asset
  • Excellent verbal and written communication skills
  • Detail-oriented, organized, and able to manage multiple priorities
  • Reliable, punctual, and a team player with a positive attitude
  • Comfortable working under pressure in a busy environment
  • Ability to maintain confidentiality and handle sensitive information
  • Strong problem-solving skills and willingness to learn

Preferred Qualifications

  • Post-secondary education in Business Administration or related field (asset)
  • Experience in a service-based or HVAC/refrigeration company (asset)
  • Familiarity with scheduling, dispatching, or customer service roles

Requirements

  • Proficiency in English is required; bilingual skills in other languages are a plus.
  • 3+ years of admin experience, preferably in a small to mid-sized company.
  • Strong communication skills with the ability to engage effectively with diverse customers.
  • Excellent phone etiquette and interpersonal skills.
  • Ability to handle multiple tasks simultaneously while maintaining accuracy.
  • Familiarity with data entry systems and basic computer applications.
  • A positive attitude and willingness to learn in a fast-paced environment.
  • Experience working in HVAC or similar industry is preferred.

Pay: $23.00-$26.00 per hour
