Role overview

We are seeking an Office Administrator who is creative, innovative, and eager to support a mental health clinic in reaching their goal of supporting folks in need of assessment and/or therapy services. As an Office Administrator, your role is pivotal in adding to a welcoming and warm environment and supporting the clinic as a whole.

A day in the life

  • Report directly to the Office Manager
  • Support the Office Manager in general administrative tasks
  • Answer incoming calls and emails with sensitivity, confidentiality, promptness, and mindfulness
  • Perform new client intake inquiry phone calls and emails by focusing on building a rapport through active listening and empathy
  • Greet clients
  • Social Media Marketing experience is a bonus!!
  • Work with the team to create a friendly, welcoming, and inclusive environment
  • Collect initial client demographics
  • Support in booking initial clinical consultations
  • Assist clients in bookings of various assessment and therapeutic appointments
  • Adhere to PHIPA guidelines and maintain client confidentiality
  • Adhere to the clinic policies and procedures
  • Support in other duties as assigned

What you bring to the team

  • Excellent customer service skills, including answering telephone calls, greeting clients and responding to inquires
  • Excellent organizational, time management and prioritization skills
  • MS Office skills required, including Word, Excel, Outlook and PowerPoint
  • Strong interpersonal and communication (verbal and written) skills
  • The ability to work in a team environment and contribute to the overall success of the clinic
  • A forward thinking and collaborative mindset
  • Knowledge of the Jane App is an asset
  • Evening support with flexibility for day shifts as needed
  • A passion for supporting folks in their mental health journey

Education:

  • Secondary School (preferred)

Experience:

  • Administrative Assistant role: 5 years (required)
  • Administrative role in mental health/healthcare in Ontario: 3 years (required)

Location:

  • Newmarket, ON (preferred)

Work Location: In person
