Location: Berne, IN (In-Person)

Position: Office Administrator

Compensation: $30/hour

Schedule: 8:00 AM – 4:00 PM, Monday–Friday

Reports To: Ownership, Operations Manager, Sales Manager

Position Overview

Wilson Brothers Lawn & Landscape is seeking a highly organized, detail-oriented Office Administrator to join our fast-growing design, build, and maintenance company. This role is the central operational support hub, connecting field crews, management, sales, and ownership. The Office Administrator ensures smooth day-to-day operations through communication, scheduling, payroll, financial oversight, and administrative support. This position plays a critical leadership role as the company continues scaling into multi-location operations.

Primary ResponsibilitiesOffice & Administrative Management

  • Maintain office organization including files, HR documents, timesheets, and receipts.
  • Ensure employee records and company files remain accurate and updated.
  • Assist with daily crew send-offs (safety checks, prep tasks, water checks).
  • Prepare paperwork, forms, onboarding documents, and handbooks for employees.
  • Clean, stock, and maintain office supplies and common areas.
  • Support ownership and leadership with administrative projects and operations needs.

Client Relations & Scheduling

  • Serve as a primary point of contact for incoming customer calls and inquiries.
  • Log all communications into CRM and enter new leads for the sales team.
  • Schedule estimates, consultations, and client appointments for sales staff.
  • Manage routing and scheduling in coordination with operations and project managers.
  • Communicate schedule updates to customers and ensure accuracy across platforms.

Accounting & Financial Administration

  • Enter bills, receipts, and expenses into QuickBooks Online.
  • Track bills, prepare payments, and maintain accurate ledgers.
  • Reconcile accounts and update key financial statements (P&L, Balance Sheet, AP, AR).
  • Manage weekly payroll and verify timesheet accuracy.
  • Support proper job costing and maintain records inside LMN.

Operations Support

  • Track materials, purchase orders, deliveries, and inventory.
  • Coordinate daily operations with field crews and management.
  • Conduct jobsite visits (approx. 2x weekly) for quality control and media capture.

Marketing & Media

  • Capture and post high-quality photos, videos, and drone footage.
  • Manage company social media pages to maintain active and professional branding.
  • Assist ownership with additional marketing initiatives as needed.

Requirements

  • 2+ years of experience in office administration, accounting, or operations support (landscape or construction preferred).
  • Proficiency with LMN, QuickBooks Online, and Google Suite (Docs, Sheets, Drive, Gmail).
  • Exceptional organizational skills and ability to manage multiple priorities.
  • Strong communication, problem solving, and customer service skills.
  • Tech-savvy, adaptable, and eager to grow with a rapidly expanding company.
  • Positive, proactive, and team-oriented work style.

Work Conditions

  • Standard office environment with occasional jobsite visits.
  • Fast-paced work environment requiring multitasking and time management
  • Occasional light lifting (files, supplies, equipment).
  • Regular communication with field crews, customers, and leadership.
