Role Overview:

  • Position: Office Administrator
  • Reporting to: Office Manager / Head of Corporate Services
  • Responsible for: The Office Administrator plays a key role in daily client communication, internal coordination, and ensuring smooth administrative operations across the business.
  • Location: Based in Meath with possible travel to Ballycoolin, Dublin 15
  • Contract: Permanent (6 months probationary period)
  • Salary: €32,000

This role is ideal for a highly organised, proactive, and communication‑focused administrator who enjoys working in a busy environment, managing multiple tasks, and supporting both internal teams and external clients. Experience in property maintenance, construction, or a service‑based industry is an advantage but not essential.

Reactive Repairs & Maintenance:

Premier Irish Homes delivers a comprehensive range of emergency, urgent, and routine maintenance services to a wide portfolio of social housing clients nationwide. Our work also includes planned and cyclical maintenance, ensuring properties are safe, compliant, and maintained to the highest standards. As our organisation continues to grow, driven by our strong service delivery, high completion rates, and reputation for reliability, we are expanding our administrative team to support the increasing operational demand.

In this role, the Office Administrator will operate at the centre of a fast‑paced, high‑volume maintenance environment, ensuring that all incoming requests are managed efficiently and that communication with clients, staff, and subcontractors remains consistent and professional. This involves coordinating job updates, monitoring progress, supporting the scheduling of works, and ensuring all procedures align with our Quality Policy and ISO aligned Quality Management System.

The Office Administrator will also play an important part in the smooth running of day‑to‑day operations, including responsibilities such as arranging accommodation for staff when required, supporting field teams with logistical needs, and ensuring documentation and workflows adhere to company standards. Above all, the role requires someone who is a team player, adaptable, solutions‑focused, and willing to take on tasks as needed to support the wider team and the delivery of high‑quality services to our clients.

Key Responsibilities

Client Communication & Updates

· Provide daily updates to clients, ensuring accuracy and professionalism.

· Answer incoming queries promptly and confidently through phone and email.

· Log interactions and updates through the company CRM system, Workpal

· Communicate clearly with clients regarding progress, timelines, scheduling, or changes.

Administrative Operations

· Manage shared inboxes, case files, and scheduling tools.

· Prepare reports, spreadsheets, and documentation for senior staff and clients.

· Maintain accurate records, job notes, and follow‑up actions.

· Assist with invoicing preparation, purchase order tracking, and document control.

Internal Coordination

· Liaise daily with internal management, project managers and subcontractors.

· Schedule works, inspections, and contractor appointments.

· Ensure all team members have the required information ahead of each job.

· Track progress and flag delays or issues to management.

Systems & CRM Management

· Work efficiently across Microsoft Outlook, Excel, Word, Teams

· Update job statuses and documentation.

· Ensure data entered is clean, accurate, and compliant.

· Ability to adapt and use various CRM systems

General Office Duties

· Support internal workflows and administrative processes.

· Assist with onboarding documentation, induction packs, and compliance files.

· Participate in continuous improvement activities.

· Any other duties consistent with the role.

Experience & Skills:

· Strong proficiency with Outlook, Excel, Word, Teams, and general IT systems.

· Experience working with CRM or job management systems (preferred but training can be provided).

· Previous administration experience in property maintenance, construction, facilities management, or a service industry is an advantage.

· Excellent written and verbal communication skills.

· Experience dealing with clients and subcontractors.

· Ability to work independently and as part of a wider team.
